Job Overview

We are seeking a highly organized and compassionate Medical Receptionist to join a dynamic virtual front-desk team. In this role, you will serve as the first point of contact for patients by managing incoming call flows, scheduling appointments, and auditing patient charts. You will also bridge front-desk and billing operations by handling basic account inquiries, sending appointment reminders, and uploading intake documentation into the EHR system. The ideal candidate brings strong communication skills, experience navigating U.S. healthcare workflows, and a commitment to maintaining HIPAA compliance.

Schedule: Mon-Fri, 8:45 AM - 5:15 PM CST with paid break from 1:30 PM - 2 PM (40 hrs per week)

Responsibilities

Patient Communication & Front Desk Operations

  • Inbound & Outbound Telephony: Answer incoming calls promptly and professionally using the clinic’s virtual phone system, ensuring a warm, positive first impression. Promptly check and return missed calls and voicemails.
  • Appointment Scheduling: Manage the clinic’s master appointment schedule efficiently, including booking new patient appointments, rescheduling existing slots, and identifying patients due for follow-ups or reschedule outreach.
  • Patient Engagement & SMS: Send daily automated and manual text reminders for upcoming appointments and communicate via SMS to assist patients with account balances or scheduling needs.
  • Clinician Messaging: Relay clinical messages accurately and timely to physicians and clinical staff to optimize overall daily patient flow.
  • Prescription & Patient Queries: Provide empathetic, knowledgeable answers to patient questions regarding prescription status, appointment requirements, and general clinic procedures, demonstrating a solid grasp of pain management terminology.

EHR Administration & Patient Records (AthenaHealth)

  • Electronic Health Records: Create new patient profiles, enter accurate demographic/insurance data, and upload clinical charts directly into AthenaHealth.
  • Onboarding Packets: Coordinate and email new patient intake packets to patients as needed prior to their scheduled visits.
  • Chart Auditing: Verify patient information in medical charts prior to appointments to ensure data integrity and compliance.

Billing Support & Administrative Tasks

  • Billing Inquiries: Assist with incoming billing calls, answering patient questions regarding co-pays, deductibles, and total amounts due.
  • Balance Follow-up: Reach out to patients regarding outstanding balances via phone call and text messaging.
  • Team Collaboration: Attend weekly billing office meetings to stay aligned on collections, clinic protocols, and financial workflows.
  • Compliance: Strict adherence to HIPAA guidelines and clinic protocols to protect Patient Health Information (PHI) in every interaction.

Must-Have Requirements

  • Experience: Minimum of 2 years of experience as a Remote Medical Receptionist or Virtual Assistant supporting U.S. healthcare facilities or medical practices.
  • Software Proficiency: Hands-on experience navigating AthenaHealth EHR (or similar EHR systems) and virtual phone/VOIP systems.
  • HIPAA Certification: HIPAA certification or formal training is strongly preferred.
  • Medical Terminology: Familiarity with general U.S. medical terminology, billing basics, and interventional pain management procedures.
  • Fast Learner: Ability to absorb new operational workflows, clinic-specific protocols, and software tools quickly with minimal supervision.
  • Technical Aptitude: Tech-savvy with the ability to navigate multiple apps, web portals, EHR systems, and communication platforms simultaneously.
  • Work Ethic & Focus: Hardworking, dedicated, and highly focused, with a proven track record of maintaining high productivity in a work-from-home setting.
  • U.S. Shift Experience: Comfortable working full-time aligned with Central Standard Time (CST) business hours.
  • Integrity & Trustworthiness: High degree of professional integrity, maintaining strict confidentiality and safeguarding sensitive patient information at all times.
  • Exceptional Communication: Fluent written and verbal English communication skills, with an empathetic tone suited for interacting with patients experiencing chronic pain.
