Travel & Lifestyle Administration Specialist

Overview

Our client is looking for a highly organised, detail-oriented, and technologically confident Travel & Lifestyle Administration Specialist to provide dedicated administrative support to an Ultra-High-Net-Worth (UHNW) client account. Operating within a wider 24/7 travel and lifestyle team, you will focus on backend administrative and operational tasks, ensuring all travel records, documentation, and receipts are accurately captured and filed. Working closely with Australian-based staff, this fully remote role gives you the autonomy to manage vital client information while maintaining strict confidentiality and precision.

Schedule:

  • Tuesday to Sunday, 12:00 PM – 9:00 PM Brisbane Time

Responsibilities

  • Create, format and maintain documents using Microsoft Word and Google Docs.
  • Maintain and update Google Sheets, trackers and internal records.
  • Accurately record travel, booking and client information.
  • Organise and maintain digital files and supporting documentation.
  • Collect, sort and file receipts and other travel-related records.
  • Maintain accurate and up-to-date client records.
  • Review emails, booking confirmations, receipts and team communications and transfer relevant information into the appropriate systems.
  • Assist with reconciliation and record-keeping where required.
  • Ensure documentation and information are filed consistently and can be easily retrieved by the wider team.
  • Provide general administrative and operational support to the travel team.
  • Follow established processes while identifying missing or inconsistent information.
  • Ensure administrative tasks are completed promptly and accurately.
  • Maintain a high level of confidentiality when handling private client information.

Requirements

  • Extremely organised and detail-oriented.
  • Highly accurate when entering, reviewing and maintaining information.
  • Experience supporting UHNW, VIP, executive or private clients would be particularly advantageous.
  • Technologically confident and comfortable learning new systems.
  • Proficient with Microsoft Word, Google Docs and Google Sheets.
  • Comfortable working with large amounts of information and multiple documents.
  • Able to organise information logically and maintain structured digital filing systems.
  • Strong in written English and able to understand information from emails and team communications quickly.
  • Capable of working independently without requiring constant direction.
  • Reliable and consistent with repetitive but highly important administrative tasks.
  • Comfortable handling confidential and sensitive client information.
  • Proactive in identifying missing information, inconsistencies or documentation that requires follow-up.
  • Experience in travel administration, executive/personal assistance, luxury hospitality, concierge services, or private client support is highly regarded.
