Job Overview

Our client is hiring a bilingual Spanish/English Virtual Assistant with 3–5 years of insurance experience to support a US-based insurance agency. You’ll handle client service, policy administration, and sales support, helping the agency grow its book of business while keeping existing clients happy. Clear English and Spanish are essential, as you’ll be on the phone with clients daily.

Schedule

Monday to Friday from 9:00 AM to 5:00 PM San Jose, CA time with 30 minutes of paid break. (8 hours per day, 40 hours per week.)​​

Responsibilities

• Handle inbound and outbound calls, emails, and messages in English and Spanish
• Follow up with new leads, prepare quotes, and help move prospects toward a sale
• Cross-sell and review coverage with existing clients to identify gaps and opportunities
• Process policy changes, endorsements, renewals, and cancellations
• Request and track certificates of insurance and proof of coverage
• Assist clients with billing questions, payment reminders, and claims-reporting guidance
• Keep client and lead records accurate in the agency management system and CRM
• Schedule appointments and manage follow-up pipelines
• Coordinate with carriers and underwriters on client requests

Requirements

• 3–5 years of insurance experience, including sales or client-facing account management
• Fluent spoken and written English and Spanish
• Strong phone presence, with confident, friendly communication
• Working knowledge of personal lines insurance (auto, home, renters, umbrella)
• Comfortable with agency management systems, CRMs, and Google Workspace or Microsoft 365
• Reliable high-speed internet and a quiet home office setup
• Self-motivated, organized, and comfortable working toward sales targets

Qualifications

• Active or previous US insurance license, or willingness to obtain one
• Experience in a US insurance agency or with US carriers
• Experience with commercial lines, life, or health products
• Experience with systems such as AMS360, Applied Epic, EZLynx, or HawkSoft
