Job Overview
We are seeking a detail-oriented Legal Assistant (MyCase) to provide direct administrative support to attorneys in a deadline-sensitive law firm environment. In this role, you will manage case calendars, prepare legal pleadings, coordinate discovery documents, and handle professional client email communications. You will also organize evidence, assist with trial preparations, and maintain case records using software like MyCase. The ideal candidate is a reliable, proactive professional with strong written communication skills and a firm grasp of legal filing procedures. This full-time position operates 40 hours per week during Central Standard Time (CST) business hours.
Schedule: Mon-Wed, 8 AM - 5 PM CST (40 hrs per week)
Responsibilities
Legal & Case Support
- Collect, compile, organize, and maintain evidence and legal documentation for attorney review.
- Research case-related factual and legal issues using internal files and external reference sources, including laws, regulations, legal decisions, and legal articles.
- Assist attorneys with case preparation and ongoing case management.
- Compile information and prepare statistics, charts, graphs, timelines, and other summaries to clearly present case findings.
- Use legal databases and software to assist attorneys with case-related tasks.
- Maintain accurate and organized electronic and physical case files.
Legal Document Preparation & Drafting
- Draft legal documents, correspondence, contracts, pleadings, filings, and other case-related materials under attorney direction.
- Assist with the preparation, filing, and service of contracts, pleadings, and other legal documents.
- Review documents for accuracy, completeness, formatting, and consistency before submission.
- File exhibits and other legal documents with courts and opposing counsel.
- Follow established filing procedures and ensure documents are submitted within required deadlines.
- Assist attorneys with preparing documents and materials for depositions, hearings, trials, and other legal proceedings.
Calendaring & Scheduling
- Maintain and manage attorney calendars, including court dates, hearings, depositions, meetings, deadlines, and appointments.
- Accurately record and track critical legal deadlines and case milestones.
- Coordinate schedules among attorneys, clients, witnesses, experts, courts, opposing counsel, and other parties.
- Send timely reminders and follow up on upcoming deadlines and appointments.
- Ensure important dates are accurately entered and consistently monitored.
- Proactively identify scheduling conflicts or approaching deadlines and communicate them to the appropriate attorney.
- Accuracy in calendaring is a critical responsibility of this position. Missing a court date, filing deadline, or other important legal deadline is unacceptable.
Client & Stakeholder Communication
- Communicate professionally with clients primarily through email.
- Draft clear, professional, and grammatically correct client correspondence.
- Interview clients, witnesses, and experts to gather relevant case information when needed.
- Act as a liaison between attorneys, clients, witnesses, experts, courts, opposing counsel, and other parties.
- Coordinate the exchange of information and documentation among relevant parties.
- Follow up on outstanding documents, information, appointments, and case-related action items.
- Once properly trained and authorized, assist with client inquiries and provide procedural guidance as directed by the attorney or firm.
Discovery & Document Management
- Coordinate the collection, review, organization, and production of documents in response to discovery requests.
- Assist attorneys in preparing responses to discovery.
- Maintain organized records of evidence, exhibits, correspondence, filings, and other case materials.
- Ensure confidential and sensitive client information is handled appropriately.
Trial, Deposition & Court Support
- Assist with trial preparation, including assembling exhibits, trial binders, appendices, deposition materials, and court filing packages.
- Take detailed notes during proceedings and provide administrative support to attorneys.
- Organize and retrieve exhibits, documents, and other materials needed during legal proceedings.
- Assist with filing exhibits and other documents with the court and opposing counsel.
Billing & Administrative Support
- Track and accurately record billable hours and case-related activities for client invoicing.
- Maintain accurate records of work performed and time spent on individual matters.
- Assist attorneys with general administrative and case management tasks.
- Monitor assigned tasks and deadlines to ensure timely completion.
Must-have requirements
- Previous experience working at a law firm is required.
- MUST HAVE A WINDOWS OS DEVICE
- 1–2 years of Legal Assistant experience supporting attorneys is required.
- Strong understanding of legal administrative processes and case management.
- Strong calendaring and scheduling skills, particularly experience managing court dates, hearings, depositions, deadlines, and appointments.
- Exceptional attention to detail, particularly when handling legal documents, deadlines, and calendars.
- Highly punctual and reliable with a strong track record of meeting deadlines.
- Demonstrated ability to manage multiple priorities without missing important dates or tasks.
- Strong legal document drafting experience.
- Experience preparing professional legal correspondence and client communications.
- Strong written communication skills with excellent grammar and attention to detail.
- Experience communicating directly with clients, primarily through email.
- Experience with or the ability to quickly learn legal filing procedures.
- Proficiency in Microsoft Office, including Word, Outlook, Excel, and other relevant applications.
- Ability to quickly learn and become proficient in legal software and platforms, particularly MyCase.
- Ability to work independently after receiving proper training and guidance.
- Strong organizational, research, follow-up, and time-management skills.
- Ability to handle confidential and sensitive legal information professionally.
- Strong verbal communication and interpersonal skills.
Nice-to-have requirements
- Experience supporting attorneys in a litigation-focused law firm.
- Experience with court filings and electronic filing systems.
- Experience with discovery requests and document production.
- Experience supporting depositions, hearings, and trials.
- Previous experience using MyCase or similar legal practice management software.
