Job Overview:
Our client is looking for a detail-oriented and empathetic Post-Conviction Paralegal fluent in Spanish and English to serve as the operational center of their post-conviction team. In this role, you will be the steady, informed voice that families hear from, the reliable liaison that court clerks and court reporters depend on, and the meticulous manager of every filing deadline. You will build and maintain standard filing templates and prepare first-draft motions, allowing supervising attorneys to focus on core legal arguments while delivering precise support during high-stakes moments for clients.
Schedule: Monday - Friday, 8:00 AM - 5:00 PM US Central Time, with a 1-hour unpaid break (40 work hours per week)
Responsibilities:
- Serve as the primary day-to-day contact for families of post-conviction clients on assigned matters, giving proactive updates at least every 30 days and logging all communications into PracticePanther.
- Confirm written family authorizations prior to sharing case details and correspond with incarcerated clients via legal mail.
- Collect and log case information from families, explaining the post-conviction process in plain language without predicting outcomes or providing legal advice.
- Communicate with district clerks, appellate clerks, court reporters, and TDCJ officials for status checks, record orders, legal visits, and docket monitoring across TAMES and court portals.
- Order, track, bookmark, OCR, and organize case records, transcripts, and attorney files.
- Prepare, format, and submit eFileTexas filing packages following written attorney approval and circulate file-stamped copies.
- Build, standardize, version-control, and maintain the division's library of TRAP-compliant filing templates in OneDrive.
- Maintain the master deadline tracker, calendar deadlines with multi-tier reminders (30, 14, 7, and 2 days), and circulate a 60-day deadline report every Monday by 10:00 AM Central.
- Prepare first drafts of routine motions, applications (including Art. 11.07 packages), briefs, tables of contents, indexes of authorities, and certificates.
- Conduct independent cite-checking and record-checking for every draft prior to submission.
- Support post-conviction matters including Art. 11.07 and 11.072 habeas corpus applications, direct appeals, motions for new trial, Chapter 64 DNA testing, and time-credit disputes.
Requirements:
- Paralegal or legal assistant experience supporting U.S. litigation.
- Excellent written English skills with experience drafting court filings (writing exercise required).
- Clear, confident spoken English for phone interactions with court clerks and families (voice sample required).
- Advanced Microsoft Word proficiency (styles, templates, fields, section/page numbering, track changes, tables of contents/authorities).
- Strong PDF software skills (combining, bookmarking, OCR, redaction using Adobe Acrobat or equivalent).
- Demonstrated record of managing deadlines across a large caseload without misses.
- Composure and empathy when communicating with distressed family members while maintaining firm professional boundaries.
- Absolute discretion when handling confidential legal information.
Preferred Qualifications:
- Strong preference for background in U.S. criminal, appellate, or post-conviction litigation.
- Bilingual fluency in English and Spanish (spoken and written).
- Familiarity with Texas criminal procedure, Texas Rules of Appellate Procedure (TRAP), or U.S. appellate brief formatting.
- Experience with eFileTexas, TAMES, PracticePanther, or GoHighLevel.
- Law degree, paralegal certificate, or equivalent legal training.
- Experience using AI-assisted drafting tools under attorney review.
