Job Overview
We are seeking a highly organized and reliable Rostering & Scheduling Specialist to manage the daily coordination of care services for an Australian home care and disability provider. In this fast-paced, independent role, you will create, maintain, and adjust staff schedules to ensure efficient operational coverage and timely client support. The ideal candidate brings proven rostering experience, exceptional attention to detail, and a passion for solving everyday staffing challenges in a dynamic environment.
Schedule: Remote, Full Time | Monday - Friday, 8:00 AM - 5:00 PM Sydney, NSW Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities:
Rostering & Scheduling
- Create and maintain accurate staff rosters based on client requirements and service schedules.
- Match available support workers and care staff with appropriate client shifts.
- Ensure shifts are appropriately covered and scheduled within required timeframes.
- Monitor roster changes, cancellations, leave, availability, and staff absences.
- Make adjustments to rosters as client or staff requirements change.
- Identify and resolve scheduling conflicts promptly.
- Ensure staff schedules are practical, accurate, and aligned with client needs.
Shift Coordination
- Coordinate daily and upcoming shifts to maintain appropriate service coverage.
- Monitor unfilled or open shifts and proactively identify suitable staff to cover them.
- Communicate with staff regarding shift allocations, changes, cancellations, and availability.
- Follow up on outstanding roster requirements.
- Respond promptly to last-minute scheduling changes and staffing gaps.
- Escalate complex rostering issues when required.
Client & Staff Coordination
- Maintain clear and professional communication with support workers, care staff, and relevant internal team members.
- Ensure staff are aware of their scheduled shifts and any changes to their roster.
- Assist with coordinating staff availability and preferences where appropriate.
- Support continuity of care by considering client preferences, staff suitability, availability, and existing schedules.
- Handle scheduling-related enquiries professionally and efficiently.
Roster Accuracy & Administration
- Maintain accurate scheduling and staff records within relevant systems.
- Ensure roster information is kept current and reflects approved changes.
- Review schedules regularly to identify gaps, overlaps, or inconsistencies.
- Maintain accurate documentation of roster changes and scheduling communications.
- Assist with reporting and administrative tasks related to rostering and workforce coordination.
Operational Support
- Work closely with the wider care and administration team to support smooth service delivery.
- Assist with short-notice coverage requirements and urgent roster changes.
- Prioritise tasks effectively in a fast-paced environment.
- Identify recurring scheduling issues and communicate potential improvements.
- Support the team with other rostering and scheduling-related tasks as required.
Requirements:
- Solid, proven experience in rostering and scheduling.
- Previous experience coordinating staff schedules, shifts, appointments, or workforce coverage.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple schedules and competing priorities.
- Comfortable working independently with minimal supervision.
- Ability to work effectively in a fast-paced and changing environment.
- Strong problem-solving and decision-making skills.
- Excellent written and verbal English communication skills.
- Confident communicating with staff and internal stakeholders.
- Reliable internet connection and suitable remote-work setup.
Preferred Qualifications:
- Previous experience working with Australian companies or Australian clients.
- Experience in home care, aged care, disability services, or NDIS.
- Familiarity with Australian care management, workforce management, or rostering systems.
- Experience scheduling support workers, carers, nurses, or other care professionals.
- Understanding of Australian care service environments and the importance of continuity of care.
- Experience managing last-minute cancellations, staff availability, leave, and shift replacements.
- Familiarity with client-focused scheduling and service delivery requirements.
