Do you have a strong background with rostering and Australian NDIS? Our client is seeking a detail-oriented specialist to manage participant rostering and administrative workflows for a team of four (two Company Directors and two Service Delivery Managers). In this critical support role, the candidate will take ownership of daily support worker scheduling, document formatting, and compliance tracking.

Client Overview

Our client is a dedicated NDIS service provider operating out of Caboolture, Queensland, delivering high-quality, person-centered support to disability participants across the Moreton Bay region. Committed to regulatory compliance, service excellence, and modern operational efficiency, they rely on structured backend systems to coordinate care delivery.

Schedule

Monday - Friday, 9:00 AM - 5:00 PM AEST Brisbane/Queensland Time, with 30-minute paid break (40 work hours per week)

Responsibilities

Rostering Management & Operational Support

  • Manage end-to-end participant and support worker rostering to guarantee optimal shift coverage and seamless service delivery.
  • Serve as an executive administrative hub for two Directors and two Service Delivery Managers, coordinating daily tasks and schedule priorities.
  • Leverage AI tools (e.g., ChatGPT, Claude, Microsoft Copilot) and cloud collaboration platforms to automate and streamline routine administrative workflows.
  • Coordinate cross-functional team tasks to ensure prompt completion of operational deliverables and daily inquiries.

NDIS Compliance, Document Formatting & Audit Readiness

  • Prepare, format, and audit business documents, policies, and participant agreements following strict naming conventions, footers, and brand guidelines.
  • Maintain accurate, up-to-date compliance registers for support worker screening, training certificates, and document expiry dates.
  • Assist with NDIS audit preparation by ensuring all operational records, incident logs, and service agreements are systematically archived.
  • Uphold strict data privacy and confidentiality standards across all cloud storage repositories.

Requirements

  • NDIS Sector Expertise: Demonstrated background in the Australian NDIS sector with a firm grasp of NDIS terminology, participant plans, and compliance frameworks.
  • Rostering Capability: Proven experience managing support worker rosters, matching shift requirements, and resolving schedule conflicts.
  • AI & Cloud Technology Adaptability: Active familiarity with modern AI tools and cloud collaboration platforms to drive process improvement.
  • Precision & Document Formatting: Meticulous attention to detail with proven ability to follow strict document formatting standards and brand guidelines.

Technical Stack & Tools

  • NDIS Rostering & Care Software: Shiftcare, VisualCare, CareMaster, or similar disability rostering platforms
  • AI & Automation Tools: ChatGPT, Claude, Microsoft Copilot, Zapier
  • Cloud Workspace: Microsoft 365 (Word, Excel, Outlook, Teams), Google Workspace, Adobe Acrobat / PDF Editors
  • Communication & Management: Zoom, Slack / Teams, Cloud Telephony
