Medical Spa Receptionist

Job Overview:

Our client is seeking a Medical Spa Receptionist to serve as the warm, professional voice that clients hear from the moment they first call through to their post-treatment check-in. In this role, you will own the full client communication experience, manage a dynamic appointment calendar, convert inbound and outbound leads into booked consultations, and ensure every client feels heard, cared for, and confident in their next visit. This is a high-impact role where your communication skills and organizational precision directly drive revenue and client retention for a thriving medical spa.

Schedule: Full-time role; 36 work hours per week (CT)

  • Tuesday, 9:30 AM - 5:30 PM

  • Wednesday - Thursday, 10:00 AM - 5:30 PM

  • Friday, 9:30 AM - 4:30 PM

  • Saturday, 10:00 AM - 4:00 PM

Responsibilities:

  • Answer inbound calls and provide a professional first point of contact for new and existing clients.
  • Schedule consultations, services, and appointments for new customers and returning clients.
  • Manage rebooking and rescheduling of existing appointments to maintain an organized calendar.
  • Conduct outbound calls to 3–5 daily leads, leave voicemails, and send follow-up texts to drive conversions.
  • Perform post-service follow-up calls within 24 hours to check on client well-being and address any concerns.
  • Handle administrative tasks during downtime, such as inbox management, calendar organization, and email follow-ups.

Requirements:

  • Prior experience in a receptionist or customer service role, preferably within a medical spa or healthcare environment.
  • Strong verbal communication skills with a professional and friendly phone manner.
  • High level of attention to detail when managing schedules and client records.
  • Ability to handle sensitive client information in compliance with HIPAA standards.
  • Self-motivated with the ability to stay productive during periods of low call volume.

Preferred Qualifications:

  • Experience with medical spa scheduling software or practice management tools.
  • Prior experience handling outbound lead follow-up or sales-support calls in a wellness or healthcare setting.
  • Familiarity with CRM or client communication platforms used to manage text and email outreach.
