Administrative Support Specialist (Construction)

Job Description:

You will become the administrative backbone for a fast-growing construction company, managing essential but time-consuming tasks that free up leadership to focus on business development and client relationships. You will handle client communications, schedule meetings, follow up on administrative emails, and execute templated outreach to new contacts collected through networking events. This role offers the potential to grow into full-time hours as the business scales.

Client Overview:

Our client is a growing commercial construction company in Australia specializing in internal fit-outs, refurbishments, and new builds. They handle both commercial and residential projects, including civil work such as driveways and car parks. The business is rapidly expanding through active networking and client acquisition.

Schedule:

  • Monday to Friday, flexible schedule during the client’s business hours (Australian Western Time, 20 hours per week)

Responsibilities:

  • Manage and respond to client emails through Outlook in a timely and professional manner
  • Book and coordinate meetings with clients and potential clients
  • Send templated follow-up emails to new business contacts using pre-established email templates
  • Organize and manage information using OneDrive for document storage and collaboration
  • Handle administrative tasks that support business operations but do not require immediate executive attention
  • Monitor the admin email inbox and prioritize responses based on urgency and importance
  • Maintain organized records of communications and scheduling activities
  • Execute follow-up sequences after networking events to nurture business relationships

Must-Have Requirements:

  • Proficiency with Microsoft Outlook for email management and scheduling
  • Experience with OneDrive for file organization and collaboration
  • Strong written communication skills for professional client correspondence
  • Proven ability to manage multiple administrative tasks and prioritize effectively
  • Reliable internet connection and backup connectivity for remote work
  • Working computer equipment suitable for administrative tasks
  • Ability to work independently with minimal supervision

Nice-to-Have Requirements:

  • Experience in the construction or trades industry is a plus.
  • Familiarity with project management software such as Buildzack is an advantage.
  • Experience supporting executives or business owners in high-growth environments is a bonus.
