HR & Workforce Coordinator

Job Overview

Our client is seeking a proactive, organised and people-focused HR & Workforce Coordinator to take ownership of day-to-day HR and workforce coordination, including recruitment, onboarding, rostering, employee administration, workforce compliance, training coordination and ongoing staff engagement. While recruitment remains an important part of the position, this is a broader hands-on HR and workforce role responsible for supporting employees throughout their employment journey and helping maintain a reliable, responsive workforce. A key part of the role is coordinating day-to-day rostering requirements, responding to workforce changes and ensuring staffing matters are actively progressed. This role operates with a meaningful degree of day-to-day autonomy. The successful candidate is expected to take initiative, identify priorities and next steps, manage routine matters independently and follow work through to completion without requiring ongoing task-by-task direction. Management remains available for matters requiring approval, higher-level judgement or escalation.

Schedule: Monday-Friday, Flexible within 8AM - 5PM Sydney Time,  (20–25 Hours per week)

Responsibilities:

Recruitment

  • Coordinate end-to-end recruitment activities across a range of roles.
  • Draft and publish job advertisements on SEEK, Indeed, LinkedIn and other recruitment platforms.
  • Source suitable candidates through job boards, professional networks and direct outreach.
  • Screen applications and conduct initial candidate interviews.
  • Shortlist suitable applicants and coordinate interviews with hiring managers.
  • Complete reference checks and assist with pre-employment screening.
  • Maintain regular and professional communication with candidates throughout the recruitment process.
  • Proactively identify current and future staffing requirements and workforce gaps, and raise recommended actions with management.
  • Maintain candidate pipelines for frequently recruited positions.

Onboarding and Employee Administration

  • Coordinate the onboarding process for new employees.
  • Prepare employment documentation, onboarding packs and induction materials.
  • Ensure required qualifications, checks, licenses and compliance documents are obtained before commencement.
  • Set up and maintain accurate employee records within HR, rostering and workforce management systems.
  • Monitor document expiry dates and follow up with employees regarding outstanding or renewed documentation.
  • Support offboarding activities, including exit documentation, system access and record updates.

Rostering & Workforce Coordination

  • Take ownership of day-to-day roster coordination and maintenance, ensuring shifts and workforce information are accurately allocated and updated in rostering and workforce management systems.
  • Review staff availability, planned leave or unavailability, skills, qualifications, location and service requirements when coordinating shift allocation.
  • Proactively identify and work to resolve unfilled shifts, coverage gaps, roster conflicts and short-notice changes, escalating only where management input or approval is required.
  • Communicate roster changes, shift requirements and availability matters promptly and professionally with employees and relevant internal stakeholders.
  • Support continuity of service by considering consistent worker allocation and appropriate staff-to-service matching wherever practicable.
  • Monitor recurring roster gaps, workforce capacity issues and patterns in staff availability, and use this information to support recruitment and workforce planning.
  • Maintain accurate roster-related records and follow up outstanding scheduling, availability and coverage matters through to completion.

Training & Workforce Compliance

  • Coordinate mandatory and role-specific employee training.
  • Maintain staff training registers and monitor completion and renewal requirements.
  • Schedule training sessions and communicate requirements to employees.
  • Assist with identifying workforce development and training needs.
  • Support compliance with organisational policies, employment requirements and relevant industry standards.
  • Maintain accurate records for audits, compliance reviews and reporting purposes.

Employee Support & HR Coordination

  • Act as an approachable first point of contact for general employee enquiries.
  • Provide staff with guidance regarding workplace processes, policies, training and administrative requirements.
  • Support management with attendance, availability, conduct and performance-related documentation.
  • Assist with probation reviews, employee check-ins and performance review processes.
  • Prepare letters, forms, meeting notes and other HR correspondence.
  • Help communicate workplace updates, policy changes and important reminders to employees.
  • Promote positive employee engagement, communication and workplace culture.
  • Escalate complex employee relations or workplace matters to management when appropriate.
  • Maintain confidentiality and handle sensitive employee information professionally.

Autonomy, Initiative & Ownership

  • Manage assigned HR and workforce responsibilities proactively, without relying on ongoing task-by-task instruction from management.
  • Anticipate next steps, identify outstanding actions and progress routine matters within the scope of the role rather than waiting to be prompted.
  • Use sound judgement to prioritise workload, resolve routine issues and make practical day-to-day decisions, while escalating higher-risk, complex or approval-dependent matters appropriately.
  • Take responsibility for follow-through: close the loop on actions, keep records current and provide management with concise updates on risks, exceptions or matters requiring input.

HR Reporting & Process Improvement

  • Maintain recruitment, onboarding, training and employee records.
  • Prepare regular HR and recruitment reports for management.
  • Track vacancies, recruitment progress, onboarding status and workforce compliance.
  • Proactively identify and recommend opportunities to improve HR, rostering, workforce systems, templates and administrative processes.
  • Assist with reviewing and updating position descriptions, policies, procedures and employee resources.
  • Provide general HR and administrative support as required.

Requirements

  • At least three years of experience in human resources, recruitment, workforce coordination or a similar role.
  • Experience using recruitment platforms such as SEEK, Indeed or LinkedIn.
  • Hands-on experience using HRIS, rostering or workforce management systems, with confidence maintaining rosters and workforce records accurately.
  • Experience working within healthcare, aged care, disability support, community services or another regulated industry.
  • Experience recruiting nurses, support workers, carers or other frontline employees.
  • Understanding of Australian employment practices and workplace requirements.
  • Experience coordinating mandatory training, employee credentials and compliance documentation.
  • Familiarity with Australian employment awards, particularly the SCHADS Award or Nurses Award.
  • Experience supporting remote, offshore or geographically dispersed teams.
