Media Relations & Booking Specialist
Our client is seeking a proactive, detail-oriented specialist to support media outreach and bookings for multiple clients. This person will research opportunities, prepare tailored pitches, manage replies in a shared inbox and coordinate interviews. The role requires someone who reads carefully, thinks independently and checks whether their work actually makes sense before submitting it.
Schedule: Monday–Friday, 9:00 AM–5:00 PM Eastern Time
Responsibilities
- Monitor reporter requests, podcasts and other media opportunities; identify strong matches for each client.
- Research shows, journalists and outlets, trying different search approaches when initial results are limited. Review contacts for relevance before building lists.
- Develop client-specific angles and draft pitches tailored to the outlet or show, in collaboration with the agency founder.
- Manage the shared media inbox: read the full conversation, prepare appropriate replies and move interested hosts toward a booking.
- Review and correct automated summaries and email drafts. Never assume the system’s suggested response is accurate.
- Verify client availability, proposed dates, time zones and calendar invitations before scheduling. Flag missing or conflicting information instead of guessing.
- Track pitches, replies and bookings accurately, and communicate priorities or blockers clearly.
Requirements
- Experience in PR, media relations, podcast booking, journalism or a closely related role.
- Strong English writing, research skills and attention to detail.
- Proven ability to manage a busy inbox and coordinate schedules across time zones.
- Resourcefulness: able to refine a search, assess the quality of results and recommend a next step without needing every action spelled out.
- Comfort using AI and automation as starting points while applying independent human judgment.
Candidate assessment
Before hiring, we would like candidates to complete a short paid work sample: research a relevant media list, draft one tailored pitch and respond to a host email containing an incomplete or incorrect automated draft. We are looking for someone who catches the problem and knows when to ask for clarification.
