Marketing and Administrative Support

Job Overview:

Our client is looking for a natural problem-solver who loves supporting families and building community to join them as a Marketing and Administrative Support. In this role, you will be the comforting, calm voice for parents navigating urgent, same-day childcare needs. You will seamlessly manage the booking portal, coordinate nanny schedules, and handle essential administrative duties such as interviews and reference checks. Beyond operations, you will help spark excitement for the brand across Las Vegas, Reno, Sacramento, Orange County, and Northern Colorado by engaging daily with online mom groups, cultivating warm leads, and building trusted partnerships with local pediatricians, realtors, and venues.

 

Schedule:

Flexible between 10am-2pm Monday-Friday or 9am-5pm 3 days a week

 

Responsibilities:

  • Engage daily in local parenting, mom, and community groups across target markets (Las Vegas, Reno, Sacramento, and Orange County).
  • Follow up with warm leads, track lead sources by city, and report partnership opportunities weekly.
  • Connect with realtors, pediatric offices, OBs, birth centers, and event venues to introduce the client as a trusted local childcare resource.
  • Respond to all calls, texts, emails, and portal messages professionally and calmly.
  • Support urgent scheduling needs and same-day care requests.
  • Assist families with booking care in the portal, support schedule changes/cancellations, and confirm nanny availability.
  • Flag coverage gaps and recurring scheduling issues for leadership review.
  • Handle administrative tasks including scheduling interviews, appointment management, reference checks, and email/phone assistance.
  • Escalate emergencies or sensitive situations to leadership immediately and document after-hours activity for next-day follow-up.

Requirements:

  • Exceptional verbal and written communication skills with the ability to remain composed under pressure.
  • Proficiency in online portal systems, email, messaging apps, and lead tracking tools.
  • Strong critical thinking skills, problem-solving abilities, and sound judgment for urgent situations.
  • High attention to detail for tracking lead sources, documenting support calls, and identifying scheduling trends.
  • Familiarity with (or willingness to learn) the local communities and demographics of Las Vegas, Reno, Sacramento, Orange County and Northern Colorado.
