Recruitment & Enrollment Coordinator

Job Description:

You will become the operational backbone of a growing music academy, taking ownership of teacher recruitment, student communications, and administrative coordination. Working independently across Hong Kong and New York time zones, you'll conduct candidate interviews, respond to parent inquiries, coordinate trial lessons, and ensure smooth communication between teachers and families. This role requires someone who can think critically, handle negotiations with professionalism, and close deals without constant oversight—all while the founder focuses on scaling the business.

Client Overview:

Our client operates a boutique piano academy in Hong Kong that provides in-home music instruction to families across the city. Their teachers travel to students' homes, offering a premium, personalized learning experience. As the business scales, they need operational support to manage teacher recruitment, student inquiries, and day-to-day coordination across multiple time zones.

Schedule:

  • Monday to Friday, distributed flexibly between Hong Kong SAR (3 hours) and New York, USA (1 hour), 20 hours per week
  • Client time zone: Hong Kong Standard Time (HKT) and US Eastern Time

Responsibilities:

  • Conduct video interviews with teaching candidates based on pre-screened CVs, asking prepared and follow-up questions to assess fit
  • Manage all communication with prospective students and families via WhatsApp, answering questions about the academy, lesson structure, pricing, and teacher availability
  • Coordinate and schedule trial lessons between families and teachers, confirming logistics including student location, piano access, and lesson timing
  • Follow up with families after trial lessons to address concerns, suggest alternative teachers if needed, and close enrollment for ongoing lessons
  • Handle teacher inquiries and negotiations professionally, maintaining company standards around contracts, scheduling, and compensation
  • Track lesson activity and ensure invoices accurately reflect completed sessions
  • Communicate daily or as needed with the founder via WhatsApp or voice call to provide updates and clarify questions
  • Monitor AI-assisted communication tools (if implemented) to ensure quality responses and escalate complex inquiries

Must-Have Requirements:

  • Human Resources or recruitment experience, with demonstrated ability to conduct structured interviews and assess candidate fit
  • Sales or customer success experience, including the ability to close deals and follow up with leads effectively
  • Excellent written and verbal English communication skills for professional correspondence with families and teachers
  • Strong boundary-setting and negotiation skills to handle candidate pushback, contract discussions, and scheduling conflicts
  • Self-sufficient working style with ability to make decisions independently and escalate only when necessary
  • Comfortable working flexibly across Hong Kong and New York time zones with distributed hours throughout the day
  • Reliable internet connection and backup systems to ensure consistent availability

Nice-to-Have Requirements:

  • Cantonese/Mandarin proficiency is a strong asset, facilitating seamless communication within Hong Kong’s local community.
  • Prior experience in education, tutoring, or music is highly advantageous.
  • Start-up or small-business background is a plus, especially if you are comfortable wearing multiple hats.
  • Familiarity with scheduling tools, CRM systems, or invoice-tracking software is preferred.
