Tenant Relations & Property Coordinator

Job Description:

You will serve as the operational backbone of a dynamic real estate portfolio, managing all backend administrative functions that keep properties running smoothly and tenants satisfied. This role puts you at the center of daily operations, from lease administration and permit coordination to tenant communication and rent collection. You will work directly with property owners, tenants, and vendors to ensure seamless property management across multiple warehouse locations. This is a hands-on position where your organizational skills and attention to detail directly impact the success of a growing real estate portfolio.

Client Overview:

Our client is a growing Miami-based small-bay industrial real estate company specializing in acquiring, renovating, and managing warehouse properties. They focus on properties ranging from 500 to 5,000 square feet, purchasing undervalued assets in lower-rent markets, upgrading them, and securing quality tenants for long-term management and ownership.

Schedule:

  • Monday to Friday, 9:30 am to 5:30 pm (US Eastern Time, 35 hours per week)

Responsibilities:

  • Manage lease agreements, lease renewals, and all related documentation
  • Submit and track permit applications for property renovation projects
  • Handle tenant communication, including maintenance requests and general inquiries
  • Coordinate with vendors to resolve property issues such as leaks, repairs, and facility maintenance
  • Conduct rent collection follow-ups and communicate with tenants regarding overdue payments
  • Manage tenant onboarding and offboarding processes
  • Maintain organized records of all property-related administrative work
  • Serve as the primary point of contact for day-to-day tenant needs and requests

Must-Have Requirements:

  • Proven experience as a property management assistant or in real estate administration
  • Strong organizational skills with ability to manage multiple properties and tasks simultaneously
  • Excellent communication skills for professional tenant and vendor interactions
  • Experience handling lease agreements and rental documentation
  • Ability to manage rent collection processes and follow up on overdue payments
  • Comfortable coordinating maintenance requests and working with external vendors
  • Reliable internet connection and professional home office setup for remote work

Nice-to-Have Requirements:

  • Experience with permit application processes is a strong plus.
  • Familiarity with small bay industrial or warehouse properties is highly advantageous.
  • Working knowledge of property management software systems is preferred.
