Our client is looking for a Dental Patient Scheduling Receptionist who will serve as the first point of contact for patients calling into a busy dental practice, managing appointment scheduling, addressing procedure inquiries, and triaging emergency requests. This is a critical role where you'll be the voice of the practice, ensuring no patient call goes unanswered while working closely with the office manager and clinical team to provide seamless patient care. You'll work remotely using cloud-based practice management software and phone systems, becoming an integral part of a team that values reliability and long-term commitment.

Client Overview

Our client is a growing dental practice in Canada serving a large patient base with comprehensive clinical services. They currently operate with a high volume of daily patient inquiries, appointment bookings, and emergency requests that require round-the-clock attention.

Schedule: Eastern Time (Canada), 40 work hours per week

Responsibilities

  • Answer incoming patient calls and manage appointment bookings through the practice management system
  • Triage emergency patient requests and immediately communicate urgent needs to the doctor via text or messaging
  • Provide information to patients about dental procedures, office policies, and treatment options
  • Process patient payments and handle billing inquiries with complete confidentiality
  • Check patients in and out using the dental practice management software
  • Maintain real-time communication with the office manager for questions requiring clinical guidance
  • Document all patient interactions accurately in the practice management system
  • Manage missed calls and follow up promptly to ensure excellent patient experience
  • Handle multiple incoming calls simultaneously while maintaining professionalism and accuracy

Requirements

  • 2-5 years of experience as a medical or dental receptionist
  • Experience working with practice management software in a healthcare setting
  • Strong phone communication skills with the ability to handle high call volumes
  • Comfortable handling patient payment information and billing inquiries with strict confidentiality
  • Ability to work independently in a remote environment while maintaining real-time collaboration
  • Willingness to commit to long-term employment and stable work arrangement
  • Experience with appointment scheduling and patient check-in/check-out processes
  • HIPAA compliance knowledge and understanding of patient privacy requirements

Preferred Qualifications

  • Experience with Dialpad phone systems (Bonus)
  • Familiarity with Akito One dental practice management software (Preferred)
  • Experience triaging medical or dental emergencies (Bonus)
  • Prior experience working in a high-volume patient care environment (Preferred)
