Assistant Project Manager

Job Overview
Our client, a hospitality foodservice design firm, is looking for a highly organized and detail-oriented Assistant Project Manager to remotely support foodservice design and construction projects from concept through construction administration. The ideal candidate is intelligent, learns technology quickly, can pivot between multiple systems and processes with ease, communicates professionally in English with clients and internal teams, and completes tasks with both speed and accuracy. This is a fully remote role supporting U.S.-based project managers and the construction administration team; on-site work is not required.
 
Schedule
Monday – Friday, 8:00 AM – 5:00 PM ET (40 work hours per week) [confirm working hours / required ET overlap]

Responsibilities
  • Organize and maintain project files, schedules, budgets, and documentation across all project phases.
  • Track project hours and prepare first-pass billing submissions for project manager review.
  • Assist with proposals, contracts, change orders, and related documentation.
  • Prepare, expedite, and monitor project logs and status sheets — submittals, RFIs, shop drawings, change orders, and material delivery logs.
  • Conduct first-pass reviews of project documents, submittals, and correspondence; summarize findings and flag items needing attention.
  • Maintain the CRM, project trackers, and databases, keeping records accurate and current.
  • Schedule meetings, capture and distribute minutes, and track action items and deadlines.
  • Support the Construction Administration team with documentation, budget and schedule tracking, and project close-out packages.
  • Communicate professionally with clients, contractors, vendors, and internal teams, following established checklists and processes to keep projects moving forward.
 
Requirements
  • Previous experience in project coordination, construction administration, architecture, engineering, or a similar design/AEC industry.
  • Strong organizational and multitasking abilities.
  • Quick learner, able to adapt to new software and systems; experience with project management, CRM, or design tools (e.g., Revit) a plus.
  • Professional written and verbal English communication skills.
  • Strong attention to detail and ability to work efficiently under deadlines.
  • Comfortable managing multiple priorities simultaneously.
  • Reliable remote work setup with dependable internet and consistent availability during ET business hours
