-
Work the MP’s inbox to zero every day: read, delete noise, route, reply, file. Apply tags exactly. File sent items daily and harvest any delegated tasks.
-
Steward his LinkedIn as a second inbox — open all day, answered as messages arrive.
-
Own the diary end-to-end. Today and tomorrow in detail every morning; a fortnight ahead three times a week.
-
Resolve every clash before he sees it, or present a recommended fix.
-
Confirm every external meeting the day before and again that morning. Build in travel, prep and buffers.
-
Book flights, hotels, transfers, visas, itineraries. Nothing is “booked” until ticketed and confirmed.
-
Deliver a written decisions note by 9:55 am: headline, two lines of context, your recommendation, one closed question.
-
Run the 10:00 am call to script, capture decisions, read them back, action immediately. No note, no call.
-
Track everything the MP asks anyone to do. Capture it the moment it is asked.
-
Chase courteously before the due date; chase again with a deadline; escalate after two chases. Nothing drifts.
-
Enter his time entries daily. Scan the diary for every client meeting, court appearance and call. Chase fee earners daily for billable conversations. Backlog is not acceptable.
-
Keep the CRM clean. Track promises, introductions and follow-ups after every meeting. Prepare who’s-who briefings before BD meetings.
-
Coordinate medical appointments, tests, renewals, passports, loyalty programmes — discreetly, and with his wife where appropriate. Confirmations are yours to give, never his.
-
Keep MP-office registers current: providers, renewals, key dates, access, delegations, decision log. “I have a list but it is not up to date” is a failure.
-
Use approved AI tools daily to triage, draft and check work against the manual. Judgment stays yours — the tools do the remembering.
-
9:00–9:30 — Plan: morning pack, clear overdue tasks, resolve diary clashes, write the daily brief.
-
9:30–9:55 — Urgent scan; confirmations out; inbox worked to signal; the 10:00 note written and emailed.
-
10:00–10:15 — The daily call with Trevor. Scripted, decisions captured and read back.
-
10:15–12:30 — Actions from the call; inbox passes; project work; BD sweeps.
-
12:30–1:30 — Lunch.
-
1:30–2:00 — Time recording: entries, diary pass, fee-earner chase.
-
2:00–5:30 — Project work; chasing the action register; filing; registers; afternoon inbox pass.
-
5:30–6:00 — Close: inbox at zero, tomorrow locked, end-of-day handover sent.
-
Log off at 6:00 pm.
-
Inbox at zero at close of business, every day.
-
Daily note delivered by 9:55 am, every day, with a recommendation on every item.
-
Zero dropped balls. Nothing the MP asks of anyone goes untracked or unchased.
-
Zero surprises. No missed appointment, no lapsed booking, no expired document, no unanswered invitation.
-
Time entries current daily; registers verified monthly.
-
Questions answered by the manual, not by him: once a rule is settled, it is never asked again.
-
4–5 years supporting a senior executive, founder, partner or C-suite principal — owning an inbox and diary, not just scheduling.
-
Professional services experience (law, accountancy, consultancy) is highly desirable. You understand matters, billing, deadlines and confidentiality.
-
A proven track record working remotely and unsupervised across time zones.
-
Comfortable with 100+ emails a day to zero. Able to triage inbox and diary in the first 90 minutes.
-
Exact: dates, times, names, addresses, figures correct every time. If an email says three items, three items are captured.
-
Complete: loops closed, emails filed, confirmations received. You prove completeness, not assume it.
-
Flawless written English — spelling, grammar, punctuation. British / Australian conventions. No typos in outbound correspondence.
-
Judgment-first: every question comes with a recommendation. Never an open “what should I do?”
-
Anticipates: you see the clash, the missing travel time, the unconfirmed booking — before being asked. You read intent, not just words: “check if physio has anything today” from someone in pain means book it.
-
Composed and discreet: calm under pressure, unflappable with senior people. You handle remuneration, partnership and family matters without comment.
-
Systems thinker: you enjoy following a written system precisely, then improving it. You find satisfaction in registers and checklists.
-
Typing: 60+ wpm at 98%+ accuracy (tested). 70+ preferred.
-
Software: Advanced Outlook (rules, categories, quick steps, delegated mailboxes, search) — non-negotiable and tested. M365 (Teams, Word, Excel, To Do, OneDrive/SharePoint). Desirable: NetDocuments / iManage / SharePoint; ActionStep / Clio / LEAP; Adobe Acrobat; HubSpot; Excel intermediate.
-
AI-ready: willingness to work an AI-assisted workflow (Claude, ChatGPT, Copilot) is essential; existing fluency is a strong advantage.
-
Hours: 9:00 am – 6:00 pm AEST, Monday to Friday. (Early morning in the Philippines and much of Asia — confirm you can sustain this.)
-
Location: Fully remote. Firm-provided cloud desktop.
-
Connectivity: Reliable high-speed internet with tested backup, quiet dedicated workspace, headset, webcam, power backup where outages are common.
-
Language: Fluent, natural English. Comfortable on the phone with Australian, UK and Asian clients.
-
A documented manual, AI tooling and real training — not “figure it out.”
-
Direct daily access to the Managing Partner.
-
Protected hours. No expectation of work outside 9–6.
-
Scope to grow into a true executive business partner.
