Executive Assistant

Job Overview:

Our client is seeking an outspoken, proactive Executive Assistant to support high-level nonprofit leadership in a dynamic New York-based organization focused on education and youth development. In this role, you will serve as the professional administrative backbone, managing strategic communications with stakeholders and ensuring seamless operations across multiple impactful programs. This high-impact position is ideal for someone who views virtual executive support as a critical organizational pillar.

Schedule: Monday to Friday, 10:00 AM - 2:00 PM EST (20 hours per week)

Responsibilities:

  • Handle comprehensive administrative paperwork and documentation across multiple program areas.
  • Manage professional email correspondence, outreach campaigns, and stakeholder follow-ups.
  • Communicate on behalf of executive leadership with superintendents, investors, and educational stakeholders.
  • Proactively prepare materials and information for leadership meetings and presentations.
  • Support both the founder and executive director with strategic administrative tasks.
  • Coordinate communications across education, youth development, animation, and childcare programs.
  • Maintain professional standards suitable for a high-level New York business environment.
  • Operate with high autonomy and proactivity, projecting forward to anticipate organizational needs.
  • Maintain prompt availability via phone calls, text messages, and internal chats during designated shift hours.
  • Collaborate directly alongside leadership in a live, shared virtual meeting space for real-time task syncs and relationship building.
  • Drive meaningful impact across youth programs with opportunities for role expansion and long-term career growth.

Requirements:

  • Excellent verbal and written English communication skills with a professional, mature, and polished delivery.
  • Strong autonomous work style with proactive task management capabilities, requiring minimal coaching, a vibrant personality, and a high sense of virtual work ethic.
  • Experience or familiarity with educational systems, nonprofit operations, or youth programming.
  • Exceptional organizational and time management skills.
  • Comfort with various communication platforms including email, WhatsApp, FaceTime audio, and video conferencing.
  • Ability to focus entirely during shift hours without holding concurrent full-time roles that conflict with responsiveness or schedule flexibility.
  • Seeking a long-term professional commitment to grow alongside the organization.
