Executive Assistant
Job Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to
support our executive team. In this role, you will be the backbone of our daily operations,
managing everything from high-level calendar logistics and financial tracking to crucial team
follow-ups.
The ideal candidate is a master of triage, an exceptional communicator, and a relentless
coordinator who ensures nothing falls through the cracks.
Key Details
Schedule: 9:00 AM – 5:00 PM EST (Monday – Friday)
● Location Requirements: Remote; must reside and operate within 2 to 3 hours of
Eastern Standard Time (EST).
● Experience: Ideally 4–6 years of experience in an Executive Assistant or Operations
Management role.
Responsibilities
1. Administrative & Operations Management
● Inbox & Calendar Management: Act as the gatekeeper for executive inboxes; prioritize,
triage, and respond to incoming correspondence. Own the master calendar to maximize
efficiency and resolve scheduling conflicts.
● Meeting Coordination: Seamlessly schedule internal and external meetings, ensuring
all parties receive timely invites, context, and detailed agendas.
● Documentation & Follow-Up: Execute post-meeting action items and draft formal,
polished proposals for prospective clients.
● Financial Tracking: Assist with generating subscriptions and invoices, creating client
quotes, and proactively following up on pending payments.
2. Reporting & Task Triage
● Daily & Weekly Summaries: Provide executives with concise, daily and weekly updates
regarding ongoing project statuses, pending action items, and outstanding tasks.
● CEO Communications: Assist in crafting and refining the weekly company-wide or
board update from the CEO.
● Task Prioritization: Skillfully triage shifting priorities in a fast-paced environment,
ensuring the executive team stays focused on high-impact initiatives.
3. Team Accountability & Coordination
● Project Follow-Up: Act as the primary administrative bridge between executives and
internal team members.
● Client Management: Take ownership of assigning tasks and maintaining
constant, rigorous follow-ups with key team members to ensure project
deadlines are met.
Requirements
● Experience: 4–6 years of proven experience supporting C-suite or senior executives,
preferably in a remote environment.
● Communication: Exceptional written and verbal communication skills, with the ability to
draft professional client-facing proposals and internal reports.
● Financial Literacy: Basic comfort with invoicing software, quotes, and tracking accounts
receivable.
● Tools: Proficiency with modern productivity suites (Google Workspace, Slack, and
project management tools such as Notion, contract tools such as PandaDoc, plus CRM
tools such as Hubspot).
● Traits: Laser-focused attention to detail, high emotional intelligence, discretion with
confidential data, and a "get things done" attitude.
● Technical Knowledge Preferred: You don’t need to know how to build websites but
knowledge/deep interest in areas of technology is highly desirable.
● Strong written communication: crisp messages and polished agendas with minimal
direction
