Job Overview

We are seeking a reliable and organized Administrative Assistant to manage daily office operations for an HVAC services company. This role will serve as the primary point of contact for customers and suppliers, handling scheduling, communications, and invoice management. The ideal candidate will have 2-5 years of experience in administrative or front office support roles.

    • Mon-Fri 9:00 AM - 5:00 PM EST

Responsibilities

    • Answer and manage incoming customer calls professionally and efficiently.
    • Contact suppliers to order parts and materials as needed.
    • Track and organize invoices and financial documentation.
    • Schedule service appointments and maintain the business calendar.
    • Provide general administrative support and act as a front office coordinator for the business.

Must-have Requirements

    • 2-5 years of experience in an administrative assistant or front office role.
    • Excellent communication skills for phone interactions with customers and suppliers.
    • Strong organizational skills with ability to manage schedules, invoices, and documentation.

Nice-to-Have Requirements

    • Experience working in the HVAC industry or related field.
    • Familiarity with supplier ordering and inventory tracking processes.
