Job Description
You’ll be the vital first point of contact for patients seeking specialized pelvic floor therapy, playing a crucial role in their healthcare journey. In this remote position, you’ll manage all front office operations for a thriving therapy practice, ensuring seamless patient experiences from initial contact through ongoing care coordination. You’ll work directly with a small, dedicated team of healthcare professionals who value quality patient care and smooth operations.
Schedule: 40 hours per week, 9:00 AM – 6:00 PM; consistent coverage required including lunch periods and holidays

Responsibilities
- Answer incoming calls and provide professional, compassionate customer service throughout business hours
- Schedule physical therapy appointments and maintain accurate patient calendars
- Input insurance information and verify patient benefits for treatment coverage
- Explain insurance coverage details and benefits to patients in clear, understandable terms
- Monitor and respond to emails promptly to maintain excellent patient communication
- Process incoming faxes and follow up with patients to schedule necessary appointments
- Call patients proactively to schedule visits and confirm appointment details
- Handle patient rescheduling requests while maintaining optimal schedule efficiency
- Ensure consistent front office coverage throughout the entire business day
- Maintain accurate patient records and scheduling information in the practice management system
Requirements
- 3+ years of experience in US-based customer service or administrative roles
- Strong phone communication skills with a professional, caring demeanor
- Ability to work independently in a remote environment with reliable internet connection
- Bonus if you have experience with insurance verification and benefits explanation
- It helps if you have medical receptionist or patient care coordination background
- Experience with Prompt EMR system is beneficial (comprehensive training provided)
- Professional home office setup for handling confidential patient information
