Overview
We are seeking a reliable and detail-oriented Administrative Assistant / Customer Update Specialist to support critical healthcare logistics operations. In this role, you’ll ensure seamless communication between drivers, dispatch teams, and medical facilities during peak operational hours. You’ll work with proprietary software, automated communication platforms, and digital tracking tools to support life-saving medical deliveries while gaining exposure to emerging digital communication technologies and potential growth opportunities.

Responsibilities

  • Monitor and process real-time driver delivery confirmations and pickup notifications through digital communication platforms
  • Provide timely status updates to medical facilities, hospitals, and clinics regarding critical delivery confirmations via email and specialized portal systems
  • Extract and organize essential delivery information including job tracking numbers, completion times, recipient verification, and digital signature confirmations
  • Manage customer communication workflows by responding to email threads with accurate delivery status and pickup confirmations
  • Support the implementation of new proprietary software by performing manual data entry for specialized customer formats that require human oversight
  • Follow comprehensive training protocols for different customer communication systems and maintain consistency across all client interactions
  • Collaborate with dispatch teams to ensure uninterrupted customer service during high-volume operations
  • Adapt to evolving digital systems and processes as the company transitions to fully automated, paperless operations

Requirements

  • Excellent English communication skills with professional writing ability for healthcare correspondence
  • Strong administrative background with experience in email management, data entry, and multi-platform software navigation
  • Reliability and commitment to scheduled operational hours
  • Quick learning ability and adaptability to master proprietary software systems and evolving digital tools
  • Exceptional attention to detail for accurate medical logistics data processing and customer communications
  • Basic computer proficiency with ability to work efficiently across multiple software applications simultaneously
  • Professional demeanor suitable for communication with medical facilities and healthcare professionals

Side Note:
Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
