Spanish Bilingual Medical Front Office Coordinator

Job Summary:
We are seeking a highly skilled and customer-oriented Medical Front Office Coordinator to join our Physical Therapy Clinic based in Los Angeles. As a Medical Front Office Coordinator, you will be responsible for efficiently managing incoming calls, inputting patients' information into the WebPT software, scheduling appointments, providing excellent customer service, and performing various administrative tasks. The ideal candidate should possess exceptional communication skills, be bilingual in Spanish and English, have previous front desk experience, and be able to work full-time remotely.
 
Responsibilities:
  • Answer incoming calls in a professional and courteous manner, ensuring excellent customer service.
  • Input patients' information accurately and efficiently into the WebPT software.
  • Schedule and manage appointments for the clinic, including reminding patients of upcoming appointments.
  • Handle a high volume of calls, including inquiries about appointment availability, cancellations, and general clinic information.
  • Interact with external companies, referring new patients to the clinic.
  • Maintain patient records, ensuring accuracy and confidentiality.
  • Create and update charts for patients using the provided software.
  • Identify and escalate any complex or urgent inquiries to the appropriate person, such as the supervisor or designated contact.
  • Maintain a comprehensive understanding of the clinic's services, policies, and procedures to effectively address patient inquiries.
  • Adhere to call etiquette guidelines, ensuring professionalism, empathy, and a positive attitude during interactions with patients and external contacts.
  • Assist with additional administrative tasks as assigned.
 
Qualifications and Skills:
  • High school diploma or equivalent required; additional education or certifications in healthcare administration or related field are a plus.
  • Previous experience as a receptionist or in a customer service role, preferably in a healthcare setting.
  • Bilingual proficiency in Spanish and English is mandatory.
  • Excellent verbal and written communication skills in both languages.
  • Familiarity in using WebPT software or similar electronic medical records (EMR) systems is preferred; ability to quickly learn and navigate new software platforms.
  • Strong organizational skills and attention to detail.
  • Ability to handle a high volume of calls while maintaining a professional and friendly demeanor.
  • Excellent problem-solving and decision-making abilities.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and patient needs.
  • Reliable internet connection and a suitable home office environment for remote work.
