Job Description / Responsibilities

Act as the CEO’s right hand by assisting in overseeing day-to-day business operations across departments to ensure efficiency and alignment with company goals.

Manage and streamline administrative processes to ensure the smooth execution of internal workflows and documentation.

Prepare, analyze, and present operational reports, dashboards, and performance metrics to support data-driven decision-making.

Identify operational gaps and lead process improvement initiatives to increase efficiency, productivity, and scalability.

Coordinate with department leads to monitor performance, review processes, and ensure accountability across teams.

Support strategic planning by translating high-level objectives into actionable operational plans.

Oversee task prioritization, timelines, and resource allocation to ensure projects are delivered on time.

Establish and maintain standard operating procedures (SOPs) across departments.

Proactively anticipate operational challenges and recommend solutions before issues escalate.
Requirements / Qualifications

Proven experience as an Operations Manager, Business Operations Lead, or similar role supporting executive leadership.

Strong administrative and organizational skills with the ability to manage multiple priorities simultaneously.

Experience in reporting, data analysis, and creating dashboards using tools such as Excel, Google Sheets, or BI platforms.

Demonstrated experience in process improvement, workflow optimization, or operational scaling.
- Ability to manage multiple stakeholders and oversee workflows across different departments.
- Ability to think strategically and holistically, with a CEO-level mindset for business operations; business-savvy and highly analytical, with a solid understanding of project workflows and operational management.

Strong leadership and stakeholder management skills, with experience coordinating across departments.

Excellent communication skills—both written and verbal—with the ability to present insights clearly to leadership.

High level of initiative, ownership, and problem-solving ability with minimal supervision.

Proficiency in project management tools (e.g., Asana, ClickUp, Monday.com, or similar).
- Strong preference for candidates with hands-on experience in project-based environments, such as construction or similar industries, including managing on-site teams, coordinating projects, ordering materials, and tracking deadlines.
- Technical construction expertise is not required; however, a strong grasp of how projects move from planning to execution and how teams collaborate is essential.
