  • Monitor designated inboxes, organize correspondence, draft replies for review, and flag time-sensitive requests. Track commitments and follow through until the next step is clear.
  • Coordinate with other executive assistants, operations staff, and team members on coverage, executive requests, and handoffs. Maintain a shared view of priorities and make sure each request has an owner.
  • Capture meeting decisions and action items, keep records current in ClickUp and shared files, and coordinate project follow-ups with the Operations and Project Manager.
  • Arrange travel and meeting logistics when needed, organize documents and receipts, and coordinate routine administrative requests within agreed authority.
  • Participate in weekend team preparation for the coming week. Prepare partner briefings, agendas, and calendar reviews, and confirm priorities and follow-ups with the operations team. Maintain clear handoffs for scheduling changes and urgent communications.

Requirements:

  • Experience in commercial real estate and hands-on project management, including planning administrative or operational projects, tracking milestones, and coordinating property teams or vendors.
  • Excellent written and spoken English, professional judgment, discretion, and the ability to prioritize competing requests without losing details.
  • Proficiency in Google Workspace and comfort with ClickUp and Slack. Ability to use AI tools for drafts and summaries while checking accuracy and protecting confidential information.
  • Experience coordinating across a distributed team; reliable internet, a professional remote workspace, and availability for the agreed weekday and weekend coverage.
