Shipping & Delivery Coordinator
Role description | Full-time | Remote, with Pacific Time overlap
Reports to: Senior Sales & Operations Manager
Works closely with: Production Coordinator, Founder
Owns: Every order from container departure to delivery
About the client
The client is a Los Angeles design atelier creating bespoke furniture in natural stone. Every piece is made to order
for interior designers, architects and design-forward clients. Pieces are fabricated by our partner ateliers overseas,
shipped by ocean container to our Los Angeles warehouse, and delivered to clients across the United States through
our freight and white glove delivery partners.
About the role
Our pieces are made overseas and shipped to our Los Angeles warehouse by ocean container, about once a month.
Our Production Coordinator manages each order until its container leaves the atelier. From there, you take over and
see every order through to completion, so clients have one point of contact for shipping and delivery.
Responsibilities
Inbound freight and tracking
• Manage each container once it departs from our atelier
• Track each container with our ocean freight forwarder from departure through port arrival, customs and delivery to
our warehouse
• Follow up on any customs holds or port delays and keep the team informed
• Keep departure and arrival dates current in our order platform and send clients updates
Delivery setup
• Confirm delivery details with each client and access notes such as stairs, elevators and street access
• Request delivery quotes from our logistics partner and approve them in the partner portal
• Arrange site surveys for oversized pieces going to homes and apartment buildings
• Confirm each order is paid in full before anything is released from the warehouse
Final delivery
• Track every shipment in our logistics partner's portal, including ETAs, bills of lading and proofs of delivery
• Coordinate delivery appointments and resolve exceptions such as failed attempts, access issues or misrouted
shipments
• Coordinate warehouse pickups by clients and their freight forwarders, and apply our storage policy
Close-out
• Upload bills of lading and proofs of delivery to each order
• Mark orders fulfilled in Shopify
• Send the post-delivery follow-up and review request to every client
• Document and coordinate any damage claims within our 48-hour claim window
Client communication and systems
• Be the client's main point of contact from shipment through delivery, responding within one business day
• Work from your task list in our order platform (HQ) and keep every order's checklist accurate
What success looks like in the first 90 days
• Every order arriving at our warehouse has confirmed delivery details and an approved quote before the container
lands
• Clients hear from you at each step without having to ask, and know who to contact
• Proofs of delivery and fulfillment status are up to date for every delivered order
• Delivery exceptions are caught and resolved quickly, with the team kept informed
What we are looking for
• 2+ years in logistics, freight coordination, order fulfillment or operations support, ideally with furniture, freight or
import shipments
• Familiarity with LTL and white glove delivery, bills of lading and proofs of delivery; ocean freight or customs
experience is a plus
• Highly organized and detail-oriented, comfortable tracking many orders at once
• Clear, warm and professional written English for client and vendor communication
• Proactive follow-up: you chase updates before anyone has to ask
• Comfortable learning new systems quickly
Schedule and tools
• Full-time, with daily overlap with Pacific Time business hours (Monday to Friday) to coordinate live with our
warehouse, carriers and clients
• Tools: our internal order platform (HQ), Shopify, Front (shared inbox), Slack, Google Drive, Notion and our logistics
partners' portals
