Bookkeeper (Xero)

Bookkeeper

Tier: Junior-Level
Location: Remote – Philippines
Schedule: Monday–Friday, flexible schedule aligned with Queensland, Australia
Employment Type: Part-Time – 20 hours per week
Software: Xero, Pronto, and SharePoint

About the Role

The client is seeking a detail-oriented and proactive Bookkeeper to support bookkeeping and financial record management across multiple businesses and client accounts.

This is an excellent opportunity for someone who enjoys working independently, managing multiple accounts, and maintaining accurate, well-organised financial records in a fast-paced, growth-oriented environment.

The successful candidate will initially focus on reviewing and clearing an existing bookkeeping backlog, with a primary emphasis on account reconciliations, reviewing financial records, investigating discrepancies, and maintaining accurate, compliance-ready documentation. The role will then transition into ongoing reconciliation and financial record maintenance.

The client operates across business development, consultancy, process automation, and bookkeeping, supporting a growing portfolio of businesses in the finance, construction, and manufacturing industries. Experience with Xero, Pronto, Australian accounting practices, and Australian Taxation Office (ATO) reporting requirements will be highly regarded.

Key Responsibilities

Reconciliations & Financial Record Review

  • Manage regular bank and account reconciliations across multiple businesses and client accounts using Xero and Pronto.
  • Review existing financial records to identify inconsistencies, missing information, duplicate entries, and unreconciled transactions.
  • Investigate discrepancies and follow up on outstanding items to ensure financial records remain accurate and complete.
  • Review and verify recorded financial information to maintain the integrity of bookkeeping records.
  • Ensure reconciliations are completed accurately and on time to support weekly and monthly reporting cycles.

Financial Reporting & Compliance

  • Maintain up-to-date and accurate financial records across multiple businesses to support accountant reviews, Business Activity Statement (BAS) lodgements, and compliance deadlines.
  • Assist with reviewing financial information and supporting documentation required for Australian financial reporting and tax compliance.
  • Maintain organised records of outstanding reconciliation items and discrepancies requiring clarification or follow-up.
  • Support the preparation and review of financial information in accordance with relevant Australian accounting practices and ATO requirements.

Financial Administration & Documentation

  • Maintain organised and accessible financial documentation across multiple businesses and client accounts.
  • Use SharePoint to store, organise, and manage financial records for easy access by clients, accountants, and internal stakeholders.
  • Ensure supporting documents are complete, accurate, and readily available for accountant reviews, audits, and compliance deadlines.
  • Provide general financial administration support related to reconciliations, record maintenance, and documentation management.

Backlog Management & Ongoing Maintenance

  • Review and clear the existing bookkeeping backlog during the initial onboarding period, prioritising unreconciled accounts and outstanding financial records.
  • Identify incomplete records and discrepancies that need to be resolved before accounts can be considered up to date.
  • Establish a consistent workflow for ongoing reconciliations, financial record reviews, and documentation maintenance.
  • Manage competing priorities effectively while meeting agreed deadlines and maintaining high standards of accuracy.

Skills & Experience

Essential Requirements

  • Demonstrated experience in bookkeeping, account reconciliations, or financial administration.
  • Proficiency in Xero, particularly in bank reconciliations, account reviews, and maintaining accurate financial records.
  • Strong attention to detail and accuracy when reviewing financial data and supporting documentation.
  • Excellent organisational and time-management skills, with the ability to manage multiple businesses or client accounts simultaneously.
  • Ability to work independently, take ownership of assigned accounts, and consistently meet end-of-day and weekly deadlines.
  • Strong analytical and problem-solving skills, particularly in identifying, investigating, and resolving reconciliation discrepancies.
  • Familiarity with SharePoint or similar document management and collaboration platforms.
  • Strong written and verbal communication skills.

Preferred Experience

  • Hands-on experience with Pronto, particularly in reviewing financial records and performing reconciliations.
  • Knowledge of Australian accounting practices and financial reporting requirements.
  • Familiarity with ATO requirements, including BAS, GST, and supporting documentation.
  • Experience maintaining and reconciling financial records across multiple businesses or external client accounts.
  • Previous experience supporting businesses in the finance, construction, manufacturing, or professional services industries.
  • Xero certification or completion of relevant Xero training.

Ideal Candidate

The ideal candidate is organised, analytical, dependable, and comfortable taking ownership of reconciliation tasks with minimal supervision. They can work through an existing backlog systematically, identify discrepancies, and ensure financial records are accurate, complete, and up to date across multiple accounts.

They are confident using accounting systems, understand the importance of maintaining reliable financial records, and can identify issues requiring clarification or follow-up. They are also proactive in managing priorities, maintaining clear documentation, and ensuring accounts are ready for accountant review and relevant Australian compliance deadlines.

Schedule & Work Arrangement

  • Hours: 20 hours per week.
  • Workdays: Monday to Friday, with flexibility in daily working hours.
  • Location Reference: West End, Queensland 4101, Australia.
  • Initial Workload: Additional hours may be required during the onboarding period to clear the existing bookkeeping backlog.
  • Flexibility: Weekend work is permitted when needed, provided agreed tasks and deadlines are completed by the end of the day or week.

Success in the Role

Success will be measured by the candidate’s ability to:

  • Clear the existing reconciliation backlog within the agreed timeframe.
  • Maintain accurate and timely reconciliations across all assigned accounts.
  • Identify and resolve discrepancies or follow up on outstanding reconciliation items.
  • Keep financial records organised and ready for accountant reviews and Australian compliance deadlines.
