Job description

You will serve as the operational backbone of a dynamic, impact-driven practice — owning the calendar, driving accountability, and keeping everything running smoothly behind the scenes. You will design and maintain the organisational systems that hold deadlines, communications, and content on track, giving the business owner the clarity and structure they need to thrive. This is a high-ownership role where your contribution is immediately visible and genuinely valued.

Responsibilities

  • Manage and organize daily administrative tasks including email correspondence and follow-ups
  • Schedule and publish pre-created content across social media platforms such as Instagram and LinkedIn
  • Monitor incoming messages, consolidate key information, and update the calendar accordingly
  • Send session reminders and proactive deadline notifications to keep the business owner on track
  • Coordinate newsletter preparation and distribution, implementing structured timelines with buffer deadlines
  • Provide end-of-day summaries of communications and outstanding action items

Must-have requirements

  • Proven experience in administrative or virtual assistant roles, ideally supporting solo entrepreneurs or creative professionals
  • Exceptional organizational skills with a proactive, detail-oriented approach
  • Strong written and verbal communication skills with the confidence to hold others accountable
  • Ability to create and maintain structured workflows and systems independently
  • Comfortable working with individuals who have dynamic, fast-paced working styles

Nice-to-have requirements

  • Bonus if you have hands-on experience with social media scheduling tools for Instagram and LinkedIn
  • It helps if you have used newsletter platforms to coordinate and distribute email campaigns
  • Bonus if you have previously supported a service-based or wellness professional in a similar capacity
