Job Overview

Our client is seeking a highly organized, hands-on, and results-driven Finance Manager to oversee day-to-day financial operations, strengthen internal controls, and establish reliable financial reporting processes. The ideal candidate will have strong financial management and spreadsheet skills, with the ability to implement efficient systems, improve financial visibility, and support informed business decisions.

This role reports to the Head of Operations and works closely with Accounting, Logistics, Inventory, Production, Legal, and external advisors to ensure financial accuracy, operational efficiency, and accountability. The successful candidate must be comfortable working in a fast-paced, evolving environment, proactively identifying financial discrepancies, implementing practical solutions, and introducing automation to support business growth.

Monday – Friday, 9:00 AM – 5:00 PM Cancun, Mexico Time (EST, UTC−5)

Responsibilities

  • Oversee daily financial operations, including account reconciliations, weekly financial reviews, month-end closing support, and management reporting.
  • Maintain accurate and organized financial records using Google Sheets, Excel, and other financial management tools.
  • Monitor operational financial data, including inventory, cost of goods sold (COGS), assembly costs, production expenses, and financial discrepancies.
  • Establish and maintain structured financial reporting processes, including weekly financial updates, exception logs, and follow-up procedures.
  • Develop and implement internal financial controls, including spending approvals, expense limits, vendor payment processes, and reimbursement policies.
  • Create practical financial dashboards, reports, and tracking systems that provide leadership with clear, actionable financial insights.
  • Collaborate with Accounting, Operations, Logistics, and Production teams to ensure financial information is accurate, consistent, and updated regularly.
  • Coordinate with Legal and Contracts stakeholders to identify financial implications of agreements, vendor commitments, and contractual obligations.
  • Establish clear financial responsibilities, approval processes, and escalation procedures across departments.
  • Identify opportunities to automate repetitive financial tasks, improve system integrations, and reduce manual administrative work.
  • Develop and maintain standardized financial templates, checklists, standard operating procedures (SOPs), and documentation using Notion and other business tools.
  • Monitor key financial performance indicators, ensuring reconciliations are completed accurately and financial reports are delivered on schedule.
  • Track approved and unapproved expenses, investigate financial discrepancies, and implement corrective measures to prevent recurring issues.
  • Ensure financial data remains consistent across departments, maintaining a reliable source of financial information.
  • Communicate financial concerns, operational risks, and improvement opportunities to leadership, providing clear recommendations and practical solutions.
  • Support the evaluation, selection, and implementation of new financial tools and systems as the organization grows.
  • Work closely with leadership and department heads to improve financial accountability, operational processes, and overall business efficiency.

Requirements

  • Minimum of 5 years of experience in finance operations, accounting operations, financial management, or a similar role.
  • Strong proficiency in Google Sheets and Microsoft Excel, including pivot tables, VLOOKUPs, financial formulas, reconciliations, and structured financial trackers.
  • Proven experience managing financial processes, implementing internal controls, and maintaining accurate financial records.
  • Experience establishing recurring financial reporting processes, weekly reviews, month-end procedures, and expense approval workflows.
  • Strong understanding of financial reconciliations, expense management, budgeting controls, and management reporting.
  • Ability to identify discrepancies, investigate financial issues, and implement practical solutions to improve accuracy and accountability.
  • Experience developing financial dashboards, tracking key performance indicators, and preparing reports for senior leadership.
  • Strong organizational skills and attention to detail, with the ability to manage multiple financial responsibilities and deadlines.
  • Excellent written and verbal communication skills, including the ability to clearly communicate financial concerns, escalate issues, and recommend solutions.
  • Ability to work independently, take ownership of financial operations, and make sound decisions with limited supervision.
  • Comfortable working in a fast-paced environment with evolving processes, responsibilities, and operational requirements.
  • Proactive, analytical, and solutions-oriented approach to improving financial systems and business processes.

Nice To Have

  • Experience working in manufacturing, production, or assembly environments, particularly with inventory management, COGS, and production cost tracking.
  • Previous experience supporting founders, entrepreneurs, or rapidly growing businesses with evolving operational structures.
  • Familiarity with cryptocurrency-related financial processes, transactions, or reporting.
  • Experience using Notion for documentation, SOPs, operational tracking, and dashboards.
  • Familiarity with Telegram, Google Workspace, and collaborative remote working environments.
  • Experience implementing financial automation, integrating software tools, or working with API-compatible systems.
  • Previous involvement in selecting, transitioning, or implementing new accounting and financial management software.
  • Experience establishing scalable financial processes, improving cross-departmental collaboration, and reducing manual administrative workloads.

Key Performance Indicators (KPIs)

  • Reconciliation Accuracy: Ensure weekly and month-end financial reconciliations are completed accurately, with discrepancies documented and resolved.
  • Reporting Timeliness: Deliver consistent, reliable weekly financial reports and updates to leadership.
  • Process Efficiency: Reduce manual financial administration through automation, standardized procedures, and improved systems.
  • Expense Visibility: Maintain accurate oversight of approved and unapproved spending, ensuring financial exceptions are tracked and resolved.
