NDIS Compliance & Scheduling Assistant

Job Description:

You will become the administrative backbone of a compassionate disability support business, taking ownership of NDIS compliance processes, shift management, and operational automation as the company prepares for official registration. This role puts you at the center of day-to-day operations where your understanding of the NDIS framework will directly improve service delivery, reduce manual workload, and ensure every shift and application meets compliance standards. You'll work closely with the founder to streamline systems, manage scheduling platforms, and support the growth of a business built on genuine care.

Client Overview:

Our client is a growing disability support services provider based in Adelaide, Australia, specializing in NDIS support coordination and care services. Founded with a mission to deliver more interpersonal and responsive support to families navigating the NDIS system, they are now preparing for official NDIS registration and scaling their operations to serve more clients across the region.

Schedule:

  • Monday to Friday, 9:00 am to 6:00 pm (Australian Central Time, 40 hours per week)

Responsibilities:

  • Manage and process shifts in the Shift Care system, approving compliant shifts and declining those that don't meet NDIS or internal standards
  • Review and organize spreadsheets containing participant applications and service coordination documentation
  • Conduct research and data collection by sourcing contact details for partner businesses and referral networks
  • Support the NDIS registration preparation process by ensuring documentation and workflows meet compliance requirements
  • Automate repetitive administrative tasks currently handled manually by the founder
  • Maintain accurate records across scheduling, client intake, and shift coordination platforms
  • Flag non-compliant activities or documentation gaps before they become issues
  • Assist with ongoing process improvements to increase efficiency and scalability

Must-Have Requirements:

  • Proven experience working within the NDIS (National Disability Insurance Scheme) framework
  • Strong understanding of NDIS compliance, documentation, and registration processes
  • Demonstrated ability to manage scheduling systems and coordinate service delivery
  • Close attention to detail when reviewing applications, shifts, and compliance documentation
  • Experience organizing and maintaining spreadsheets and administrative databases
  • Excellent communication skills for liaising with internal teams and external providers
  • Ability to work independently and take ownership of administrative processes

Nice-to-Have Requirements:

  • Experience with Shift Care or comparable rostering and care management platforms is a plus.
  • Prior experience supporting a business through NDIS registration or audit preparation is advantageous.
  • Experience conducting online research and lead generation for service-based businesses is highly regarded.
  • Comfort with identifying process inefficiencies and recommending automation solutions is beneficial.
