Construction Software Implementation & Talent Success Lead

Overview:

Our client is looking for a  Construction Software Implementation & Talent Success Lead who will be responsible for directly managing, mentoring, and supporting Talents assigned to the US Region, while also serving as the team's Subject Matter Expert (SME) for JobTread and construction software implementations. This role combines talent leadership, construction operations knowledge, software implementation, mentoring, and process improvement. You will act as the primary mentor for US talent while serving as a key internal resource for JobTread-related questions, implementation requirements, migrations, workflow issues, and onboarding support across mentors, talents, and clients.

Schedule: US business hours, with at least 2 hours of overlap with the Australian team

Note: Must be eligible and available to travel to the United States for JobTread expos and related events

Responsibilities:

US Region Focus & Direct Team Management

  • Act as the primary mentor and direct line manager for US region talents
  • Provide consistent coaching, guidance, performance support, and accountability aligned with US working schedules
  • Guide talents through internal onboarding, talent kickoff, early-stage support, the 30-60-90 day program, and ongoing after-care
  • Conduct regular check-ins to assess talent performance, engagement, readiness, capability, and overall placement health
  • Create and follow through on action plans for talents requiring additional coaching or intervention
  • Maintain accurate documentation of talent progress, risks, interventions, and outcomes
  • Identify recurring talent and workflow issues and provide insights to talent success, recruitment, and other relevant teams

JobTread SME & Implementation Lead

  • Serve as the team's primary JobTread subject matter expert
  • Act as the first point of contact for mentors, talents, and clients requiring JobTread support
  • Lead and support JobTread implementations, migrations, onboarding, and workflow configuration
  • Assess existing client processes and determine how they should be structured within JobTread
  • Support migration planning, data setup, workflow configuration, testing, and implementation readiness
  • Troubleshoot JobTread issues and provide practical solutions based on construction workflows
  • Support clients and talents during the transition from legacy platforms into JobTread
  • Identify implementation risks, workflow gaps, and adoption issues and recommend corrective actions
  • Develop practical standards and best practices for JobTread implementation across the team
  • Support JobTread-related preparation, demonstrations, discussions, and client engagement during JobTread expos and industry events
  • Maintain current knowledge of JobTread features, workflows, updates, and best practices

Construction Software & Tool Adaptability

  • Develop working knowledge of other software platforms used by US construction clients and their VAs
  • Prioritise Buildertrend and Buildxact after establishing strong JobTread expertise
  • Be willing to learn new and unfamiliar tools based on client requirements and talent assignments
  • Quickly understand the purpose, core functions, and workflows of unfamiliar platforms
  • Understand how common construction workflows translate between different software systems
  • Help mentors and talents navigate new tools when they are introduced as part of a client placement
  • Support troubleshooting, workflow questions, system configuration, and process-related issues within areas of competency
  • Identify similarities and differences between platforms to help talents adapt when moving between clients or systems
  • Continue developing knowledge of other relevant tools and platforms as required by the business
  • Maintain a learning mindset toward technology and avoid relying solely on previously acquired software knowledge

30-60-90 Day Talent Success & Retention

  • Own the execution and completion of the 30-60-90 day program for assigned US talents
  • Conduct structured 30, 60, and 90-day check-ins and document findings and action items
  • Review talent performance, client feedback, attendance, responsiveness, work quality, compliance, workflow challenges, and tool adoption
  • Identify risks early and intervene before they negatively impact the talent-client relationship
  • Coordinate additional training, coaching, or intervention where required
  • Track talent progress toward job readiness and long-term success
  • Use 30-60-90 day insights to identify trends and recommend improvements to recruitment, onboarding, mentorship, and training

MCO/SIP Monitoring & Operational Bottlenecks

  • Track and monitor assigned MCOs and SIPs received from relevant talent success stakeholders
  • Ensure all MCOs and SIPs are actively progressed and closed within the required SLA
  • Proactively follow up with mentors when there is no progress or documentation against an open item
  • Maintain accurate records of open, pending, and completed MCOs/SIPs
  • Identify recurring operational bottlenecks and escalate matters requiring leadership intervention
  • Work directly with relevant stakeholders on pending client feedback
  • Coordinate with CSD regarding outstanding client feedback and follow through until the required action or information is received
  • Ensure escalations are clearly documented, assigned, followed up, and resolved

US Client Communication & Triage

  • Monitor and triage AMK messages and emails from US clients daily
  • Take direct action on requests that fall within the role's scope
  • Resolve JobTread, construction software, workflow, and talent-related issues where appropriate
  • Escalate matters outside the role's authority or expertise to the appropriate team member
  • Ensure unresolved matters are properly handed off before the end of the US shift
  • Maintain clear documentation of client issues, actions taken, outstanding items, and escalations
  • Identify recurring client questions or issues and convert them into improvements to training, documentation, or processes

Talent Health, Performance & Case Study Completion

  • Oversee the overall health and progress of newly onboarded US talents in partnership with their respective mentors
  • Monitor performance, engagement, client relationship, workload, capability, tool adoption, and other placement-health indicators
  • Identify bottlenecks and coordinate appropriate interventions
  • Support mentors in addressing performance or capability gaps
  • Monitor progress toward case study completion
  • Drive the goal of 100% case study completion within 90 days
  • Escalate recurring or high-risk talent issues when additional support is required

Mentoring, Coaching & Software Capability Development

  • Mentor and coach VAs supporting US construction clients
  • Provide practical guidance on construction workflows, JobTread, and other builder platforms
  • Support mentors when they encounter complex software or workflow issues
  • Coach talents on proper system usage, workflow adherence, and platform adoption
  • Identify software capability gaps and recommend targeted coaching or training
  • Help ensure talents are not only trained on software but can apply it effectively within real construction workflows
  • Help talents build confidence when adapting to new tools introduced by their clients

Asset & Knowledge Base Development

  • Identify recurring software questions, talent challenges, client issues, and operational bottlenecks
  • Convert recurring issues into practical and reusable resources, including JobTread playbooks, FAQs, SOPs, cheat sheets, troubleshooting guides, LMS modules, training videos, checklists, and templates
  • Develop platform-specific content for JobTread, Buildertrend, Buildxact, and other supported systems
  • Contribute platform-specific content to the mentor onboarding course
  • Contribute relevant software and workflow content to the new-hire 30-60-90 day plan
  • Maintain and continuously improve the mentor knowledge base
  • Ensure resources are practical, accurate, and aligned with real-world construction workflows

Risk & Performance Monitoring

  • Monitor early indicators of talent and client risk, including client feedback, attendance, responsiveness, work quality, compliance, workflow bottlenecks, tool adoption, communication, and engagement
  • Identify red flags and intervene proactively
  • Provide practical coaching and corrective action
  • Escalate significant or unresolved issues through the appropriate channels
  • Ensure interventions are documented and followed through to resolution
  • Identify patterns that may indicate broader training, process, or system issues

SOP, Process Improvement & Implementation Standards

  • Develop and maintain mentor SOPs, implementation checklists, workflow standards, and process documentation
  • Identify gaps in onboarding, mentoring, software implementation, and talent support processes
  • Establish and continuously improve JobTread implementation and migration processes
  • Turn recurring problems into documented processes and training solutions
  • Recommend improvements based on talent data, MCO/SIP trends, client feedback, software issues, and operational patterns
  • Help establish consistent standards across the mentor function
  • Identify opportunities to improve how talents are prepared to work across different client tools and systems

Reporting & Leadership Alignment

  • Maintain regular syncs with the head of mentorship and onboarding.
  • Provide structured updates on talent health, 30-60-90 progress, MCO/SIP status, JobTread implementations, software issues, client escalations, training gaps, recurring operational patterns, risks, and blockers
  • Surface recurring issues and patterns that should be addressed at a team or leadership level
  • Provide insights that support broader talent success risk and performance reviews

Must-Have Requirements:

  • 5+ years of experience or background as a project administrator, contract administrator, construction administrator, project coordinator, or similar construction VA roles
  • Significant hands-on JobTread implementation and migration experience.
  • Demonstrate deep, hands-on JobTread experience with proven capability in implementation, software migration, workflow configuration, project/job setup, estimating and quoting workflows, client onboarding, troubleshooting, and user support
  • Strong understanding of US-based builders or residential construction workflows/businesses
  • Experience supporting construction businesses, builders, contractors, or trades
  • Previous experience in mentoring, coaching, training, team leadership, or talent management
  • Strong problem-solving and analytical ability and excellent communication, documentation, follow-up, and interpersonal skills
  • Comfortable managing multiple priorities, stakeholders, and open issues
  • Able to work independently and take ownership of software and talent-related issues
  • Strong learning agility and willingness to learn new software tools and platforms
  • Able to quickly understand unfamiliar tools and apply them to different client workflows
  • Comfortable supporting VAs who may use different software systems depending on their client assignment
  • Valid eligibility and ability to travel to the United States for JobTread expos and related events

Highly Preferred Qualifications:

  • Hands-on Buildertrend and Buildxact experience
  • Proven background in migrating businesses from one construction management platform to another
  • Hands-on involvement in implementing construction management software
  • Familiarity with multiple construction or business software platforms
  • Demonstrated ability to quickly learn and support unfamiliar software
  • Track record of creating SOPs, playbooks, FAQs, LMS content, or knowledge bases
  • Background in training or mentoring construction VAs or remote teams
  • Direct exposure to working with US builders and construction companies
  • Proven capability in managing client escalations or performance improvement plans

The overall mentor onboarding course and 30-60-90 day program remain owned by the head of mentorship and onboarding. This role contributes the relevant software, construction, and subject-matter content.
