Tenant & Property Support Assistant

Job Description:

You will become the administrative backbone of a dynamic property management team, handling day-to-day operations while also managing the company's social media presence. This is a high-trust role where you'll work closely with the existing team member and leadership, taking ownership of tenant communications, contractor coordination, contract management, and creating engaging social media content that showcases property transformations. You'll free up leadership time to focus on business growth while ensuring smooth operations across all properties.

Client Overview:

Our client is a growing property management company based in London. They manage a portfolio of properties for both their own investments and external investors, supported by a comprehensive custom software system. The company is expanding its operations and focusing on scaling client acquisition and property stock.

Schedule:

  • Monday to Friday, 9:00 am to 5:00 pm (GMT, 40 hours per week)

Responsibilities:

  • Manage tenant communications via messaging, addressing maintenance requests and property-related inquiries
  • Coordinate with contractors by raising maintenance cases and organizing repairs across multiple properties
  • Prepare and send out property management contracts and related documentation
  • Follow established standard operating procedures (SOPs) for all administrative tasks
  • Create and publish social media content (one post per week) across Instagram, Facebook, and LinkedIn
  • Develop creative content ideas for property transformations and marketing between major project completions
  • Maintain records and case management within the company's custom property management platform (Connection)
  • Communicate with landlords regarding property updates and administrative matters
  • Support the team with general administrative duties as property management needs fluctuate

Must-Have Requirements:

  • Proven experience as a virtual assistant or in administrative roles
  • Strong written communication skills for professional tenant and landlord correspondence
  • Experience coordinating with contractors or vendors remotely
  • Ability to manage multiple tasks and prioritize in a fluctuating workload environment
  • Comfortable learning new software platforms using provided SOPs and training materials
  • Basic social media management experience across Instagram, Facebook, and LinkedIn
  • Capability to create simple social media content independently
  • Reliable internet connection and appropriate hardware for remote work

Nice-to-Have Requirements:

  • Experience with property management or real estate administration is a plus.
  • Familiarity with content creation tools such as CapCut or similar video editing apps is advantageous.
  • Experience with CRM or property management software platforms is a bonus.
  • Marketing or content ideation experience for service-based businesses is beneficial.
