E-Commerce Inventory & Staff Accountant (US GAAP)

Job Overview:

Our client is seeking an organized, detail-oriented full-time E-Commerce Inventory & Staff Accountant (US GAAP) to oversee key financial operations, expense coding, and month-end closing procedures. In this role, you will manage multiple bank accounts, maintain sales tax compliance across various jurisdictions and e-commerce platforms, and ensure financial precision using US GAAP standards. Working closely with the Controller and inventory systems, the ideal candidate brings strong expertise in inventory/COGS accounting, software mapping (QuickBooks, A2X, Finale, Ramp), and leveraging AI tools to optimize daily workflows.

Schedule:

Monday–Thursday and Saturday, 8:00 AM – 5:00 PM Central Time with a 1-hour unpaid break (40 hours per week) 

Responsibilities:

  • Data Entry & Expense Management: Upload and code all receipts to proper expense accounts/classes, attend monthly budget meetings, manage Ramp bill pay workflows, and process employee reimbursements.
  • Payroll & Revenue Accounting: Record and reconcile all payroll components (wages, benefits, taxes) and maintain A2X mapping to ensure accurate e-commerce revenue streams.
  • Sales Tax Compliance: Oversee federal, state, local, and international sales tax compliance, collaborate with external accounting firms for timely return filings, update Shopify product tax codes with Marketing, and handle tax-exempt orders.
  • Month-End Close: Prepare EOM adjusting entries, reconcile all bank, credit card, and Shopify/payment gateway clearing accounts, maintain QBO fixed assets and depreciation schedules, and assist the Controller in closing books by the 7th of each month.
  • COGS & Inventory Management: Maintain inventory financial data within Finale, upload purchase orders/freight/duty charges, reconcile EOM warehouse variances with Production, pay freight invoices, and calculate accurate landed costs for every SKU using weighted-average costing.
  • System Optimization: Leverage AI tools and modern software integrations to streamline processes and maintain high data accuracy across financial systems.

Requirements:

  • 3+ years of professional experience in accounting or a similar financial role.
  • Formal education in Accounting, Finance, or Business.
  • Solid understanding of US GAAP, general ledger maintenance, and sales tax compliance across multiple jurisdictions.
  • Demonstrated experience with inventory accounting and COGS, specifically using the weighted-cost-average method.
  • Advanced proficiency in Microsoft Excel and experience using accounting platforms like QuickBooks Online.
  • Understanding of modern AI tools and how to integrate AI workflows into daily accounting tasks.
  • Excellent organizational skills with the ability to lead projects, collaborate across departments, and oversee systems with high attention to detail.

Highly Regarded Experience:

  • Experience using e-commerce, payment, and inventory management platforms such as Finale Inventory, A2X, Ramp, Shopify, or similar e-commerce integrations.
