Overview:
Our client is seeking a proactive, highly composed CEO Executive Assistant – Operations & Strategy to function as a strategic partner to the CEO rather than a traditional task-taker. In this high-visibility role, you will take end-to-end ownership of executive priorities, calendar orchestration, inbox gatekeeping, and critical project follow-through. You will anticipate leadership needs, research solutions independently, filter incoming demands, and maintain closed-loop accountability across all delegated initiatives, freeing the CEO to focus on core growth and vision.
Schedule: Monday to Friday | 9:00 AM - 6:00 PM PST | With a 1-hour unpaid daily break (40 hours per week)
Responsibilities:
Executive Partnership & Priority Management
- Function as an authoritative gatekeeper and partner, filtering incoming requests, correspondence, and operational noise to protect the CEO's focus
- Manage complex executive calendars, meeting schedules, travel logistics, and preparation materials across competing time sensitive priorities
- Take full ownership of outcomes—researching complex issues, evaluating options, and presenting actionable recommendations rather than just reporting problems
- Exercise exceptional judgment in handling confidential information, executive decision-making, and high-level stakeholder communications
Loop Management & Cross-Functional Execution
- Maintain rigorous follow-through and loop-management systems to ensure all open action items, delegated tasks, and strategic projects reach completion
- Prepare comprehensive meeting briefs, transcribe key takeaways, assign clear task ownership, and monitor multi-departmental deliverables
- Communicate professionally and firmly across departments, holding boundaries on executive priorities while fostering solution-oriented collaboration
- Receive direct feedback constructively, adapting swiftly to high-pressure demands within a fast-moving executive environment
Requirements:
- Executive Partner Mindset: Proven background as an EA/VA supporting C-suite executives, founders, or senior leaders in fast-paced remote environments
- Proactive Problem Solving: Exceptional ability to anticipate needs, move projects forward without constant direction, and present clear solutions to complex challenges
- Loop Management & Accountability: Masterful follow-through habits, ensuring no delegated item falls through the cracks
- Resilience & Professional Polish: Confident, grounded communication style capable of managing competing priorities and working effectively with high-demand leaders
- Nice-to-Have (Bonus): Prior exposure to social services, healthcare, non-profit sectors, or multi-entity leadership coordination
Technical Stack & Tools:
- Productivity Suites: Microsoft 365 (Outlook, Teams, Excel, Word), Google Workspace
- Project & Task Management: Asana, Trello, ClickUp, or Notion
