Bookkeeper – Xero & AU Compliance

Job Overview

Our client is seeking a meticulous, self-directed Bookkeeper to manage end-to-end accounting operations for an Australian business. Working directly alongside the business owner, you will oversee bank reconciliations in Xero, manage accounts payable and receivable, issue client invoices, and execute weekly supplier payment runs. The ideal candidate possesses strong Australian bookkeeping knowledge, high attention to detail, and the autonomy to keep ledgers accurate, audit-ready, and up to date.

Client Overview

Our client is an established Melbourne-based company operating in the paint and coatings industry. Leveraging modern cloud accounting platforms, they manage an extensive network of suppliers and commercial customers requiring systematic financial reconciliations and payment processing. Transitioning from an external agency to a dedicated internal function, they are onboarding a remote Bookkeeper to take direct ownership of their day-to-day ledgers and cash flow operations.

Schedule

  • Monday - Friday, flexible Melbourne Business Hours (AEST) (20 work hours per week)

Responsibilities:

  • Execute weekly bank feed reconciliations against customer invoices and vendor bills within Xero.
  • Reconcile electronic bank transfers, merchant payouts, and multi-account transactions against accounting records.
  • Audit ledgers proactively to identify, flag, and correct accounting discrepancies or unmapped entries.
  • Prepare, issue, and track customer invoices, maintaining active follow-ups on outstanding receivables.
  • Schedule and process supplier payment runs on a regular weekly timeline to maintain strong vendor relationships.
  • Maintain clean, organized digital records for all accounts payable (AP) and accounts receivable (AR).
  • Collaborate directly with the business owner to deliver routine financial status updates and address ad-hoc ledger inquiries.

Requirements:

  • Xero Certification highly preferred; proficiency in Google Workspace, Microsoft Excel, and Email/Slack.
  • Deep, hands-on experience using Xero alongside a strong understanding of Australian bookkeeping practices (GST, BAS alignment, ABA payment files).
  • Proven track record independently managing AP, AR, bank reconciliations, and routine ledger maintenance.
  • Exceptional attention to detail with the ability to spot calculation errors, duplicate entries, and ledger misclassifications.
  • Comfortable operating independently with minimal oversight after initial onboarding and training.
