As an Australian Healthcare Appointment Setter, you will leverage your strong rapport-building skills and phone presence to re-engage an existing database of over 2,000 warm leads for an Australian healthcare organization. This non-cold-calling role requires a results-driven mindset to convert client needs into ongoing telehealth bookings while earning performance-based incentives. We highly prefer experience in Australian healthcare, allied health, NDIS, Occupational Therapy, Physiotherapy, Speech Pathology, Psychology, or medical administration. Additionally, experience handling NDIS participant information or other sensitive healthcare/client records is strongly preferred. Prior experience working with Australian clients or call-centre environments is also highly desirable to ensure your seamless transition into the team.
Schedule:
Part-time, Melbourne Australia Timezone (20 work hours per week)
Responsibilities:
- Make outbound calls to an existing database of warm clients.
- Re-engage previous and existing clients and identify opportunities for ongoing healthcare support.
- Have professional and empathetic conversations to understand general client needs and interest in continuing services.
- Promote and explain the availability of appropriate telehealth appointments without providing clinical advice.
- Convert suitable warm clients into confirmed initial or ongoing appointments.
- Follow up with clients who express interest but do not immediately book.
- Maintain accurate records of calls, client interactions, outcomes, and appointments in the CRM or booking system.
- Work closely with the internal healthcare and administration team to ensure successful appointment handovers.
- Identify and appropriately escalate clinical, sensitive, or complex enquiries to the relevant healthcare professional.
- Consistently work toward agreed weekly appointment-booking and activity targets.
- Follow established calling scripts and processes while keeping conversations natural and personable.
- Handle confidential client and healthcare-related information with discretion and professionalism.
Requirements:
- Previous experience in appointment setting, warm calling, client reactivation, customer service, telehealth, healthcare administration, or a similar role.
- Proven ability to speak confidently over the phone and build rapport quickly.
- Strong communication, interpersonal, and follow-up skills.
- Experience converting enquiries or warm leads into appointments.
- Results-oriented mindset with confidence working toward measurable appointment targets.
- Excellent organization, attention to detail, and good computer literacy to navigate CRM systems quickly.
- Professional written and verbal English communication skills.
- Ability to work independently while maintaining consistent activity and follow-up.
- A warm, patient, and empathetic approach when speaking with healthcare clients.
Qualifications;

Performance-Based Incentives:
- Includes a performance-based incentive structure linked to successful appointment bookings (such as Functional Capacity Assessment bookings, initial appointments, and ongoing appointments).
- A minimum weekly appointment-booking threshold will apply before performance incentives are earned.
Confidentiality & Client Information:
- Strong understanding of confidentiality, privacy, and appropriate handling of sensitive healthcare client information is mandatory.
- Strict adherence to non-clinical boundaries, ensuring any medical or clinical questions are appropriately escalated.
