Job Overview
Our client is looking for a highly organized, proactive, and communication-focused Operations Support team member to assist the Operations Manager in managing the day-to-day coordination of the business.
This person will be the organizational backbone behind the Operations Manager, helping keep schedules, staff, clients, meetings, emails, and upcoming jobs organized and on track. You’ll play an important role in ensuring the right people are scheduled for the right jobs, clients receive timely communication, and the Operations Manager always has a clear view of what is happening across the business.
Schedule
Wednesday to Friday, 8:00 AM to 5:00 PM (with 1 hour unpaid break), Saturday to Sunday, 5:00 AM to 2:00 PM (1 hour unpaid break) Perth Time zone | (40 hours per week)
Responsibilities
- Executive Administrative Support: Manage the Operations Manager’s calendar, inbox, and daily schedule while tracking action items and meeting details to ensure priorities stay on track.
- Job & Staff Scheduling: Coordinate event bookings, assign team members based on availability, communicate job requirements, and resolve scheduling conflicts early.
- Client & Internal Communication: Serve as the primary point of contact for operational inquiries, confirm event logistics, and ensure seamless information flow between clients, staff, and management.
- Systems & Data Management: Maintain up-to-date records across CRM software, booking platforms, and digital files to ensure accurate scheduling and administrative documentation.
- Proactive Problem-Solving: Identify operational gaps, follow up on outstanding requests, and escalate complex issues to prevent delays and streamline processes.
Requirements
Essential Skills & Experience:
- Previous experience in operations support, executive assistance, administration, coordination, scheduling, customer service, events, logistics, or a similar role
- Experience coordinating schedules, appointments, meetings, or staff through email and calendar management
- Confident communicating with clients, staff, suppliers, and internal stakeholders
- Strong follow-up and task-management skills
- Comfortable working with Google Workspace/Microsoft Office, calendars, spreadsheets, CRM systems, and other digital tools
Desirable Experience:
- Experience supporting an Operations Manager, General Manager, business owner, or executive
- Experience in events, hospitality, logistics, equipment hires, or other service-based businesses
- Experience coordinating field staff or mobile teams
- Experience managing job schedules or rosters
- Experience communicating with Australian clients
- Familiarity with CRM, booking, scheduling, or workforce-management software
