Recruitment & Compliance Administrator

Role Purpose

The Recruitment & Compliance Administrator provides essential back-office support for our Industrial & Driving recruitment division, specifically assisting with a high-volume contract for a major UK parcel delivery network.

Acting as a key link between the remote administrative function and UK onsite teams, the postholder will ensure all candidate registration packs are accurately imported into company portals, compliance checks are meticulously completed, and workers are ready for morning inductions. This is a strictly non-voice, administrative role (no phone work required) requiring exceptional accuracy, organization, and attention to detail.

Schedule:

  • Job Type: Available as Full-Time (35–40 hrs/week)
  • Working Hours: UK Business hours. You may be required to work any 5 out of the 7 days per week - it may rotate. 

Key Responsibilities

High-Volume Data Entry & Portal Management

  • Accurately input candidate information and registration packs into the company portal.
  • Process candidate data in a timely manner so that the UK team has fully updated records for daily inductions and shift allocations.
  • Ensure all attended candidates are fully processed within the agreed daily deadline to prevent avoidable rollover.

Applicant Screening & Compliance (Non-Voice)

  • Review applications and screen candidates against the requirements of the relevant site, shift, and assignment on paper and within the system.
  • Complete UK Right to Work checks accurately and in accordance with legal and company requirements.
  • Verify personal details correspond with supporting documents, escalating suspected fraudulent, altered, or invalid documentation immediately.
  • Strictly adhere to compliance: Never approve incomplete documentation to achieve an operational target. No candidate is cleared for work until all mandatory checks are complete.

Induction Caddy & Systems Administration (JoinedUp)

  • Manage the end-to-end use of Induction Caddy, scheduling slots, monitoring capacities, and downloading/uploading applicant documentation securely.
  • Create and complete JoinedUp profiles for all induction attendees, verifying personal details, bank information, and right-to-work documentation.
  • Identify and resolve incomplete, inaccurate, or duplicate worker profiles before they are added to site rotas.

Communication & Reporting

  • Maintain clear, professional, and proactive communication with the UK Contract Manager and onsite teams via Slack.
  • Acknowledge all messages, requests, and instructions promptly.
  • Provide daily progress updates regarding the number of registration packs processed, profiles completed, and any pending issues.
  • Escalate delays, system issues, and compliance concerns immediately.

Essential Skills & Experience

  • Data Entry Proficiency: Fast, highly accurate data importing skills with a strong attention to detail.
  • Compliance Focus: Thorough, accurate, and completely unwilling to compromise on legal or procedural standards (understanding of UK Right to Work and GDPR is highly preferred).
  • Communication: Exceptional written English communication skills, with strong experience communicating remotely via Slack or similar platforms.
  • Systems Experience: Experience using recruitment systems, applicant tracking platforms, or workforce systems (specific experience with Induction Caddy and JoinedUp is highly advantageous).
  • Work Environment: Reliable internet connectivity and a suitable, professional remote-working environment using secure browsers to handle confidential data.
