Overview
Our client is looking for an experienced, proactive, and highly organized Sales and Operations Coordinator to support a growing stone restoration and construction-related business. In this hands-on role, you will bridge phone sales, customer service, business operations, administration, and light HR support to build structure and drive operational efficiency. You will act as a confident self-starter, taking full ownership of warm leads, client relationships, and daily tasks to help the business run seamlessly. Schedule: Part-Time, 20 hours a week, 4 hours a day, 9:00 AM to 1:00 PM Pacific Time, Monday to Friday
Responsibilities
- Learn the business thoroughly, including its services, workflows, systems, customer journey, and operational processes.
- Help create structure, processes, and organization that allow the business to operate more efficiently and independently.
- Take ownership of day-to-day operational matters and proactively identify solutions when issues arise.
- Answer the company's main phone line using Quo (formerly OpenPhone) and act as the first point of contact for prospective and existing clients.
- Manage primarily warm leads from initial enquiry through to closing the sale.
- Handle phone-based sales, including upselling, follow-ups, and closing deals.
- Build rapport quickly, give clients confidence in the company, and maintain friendly and professional communication.
- Follow up with previous clients to identify repeat business opportunities and schedule service calls.
- Learn the company's stone restoration services, procedures, terminology, and service standards.
- Develop knowledge of different types of stone, their compositions, characteristics, and suitable treatments so that clients can be advised confidently.
- Draft and send customer estimates using QuickBooks.
- Transfer relevant data from Jobber to QuickBooks accurately.
- Maintain organized records of clients, phone numbers, dates, notes, follow-ups, and sales performance using Excel.
- Keep customer and lead information accurate and up to date.
- Use Google Workspace for email, documents, spreadsheets, calendars, and general administration.
- Use WhatsApp for internal communication.
- Communicate with employees regarding schedules, operational matters, performance, and day-to-day requirements.
- Assist with sourcing and recruiting local workers in the Los Angeles area when required, including through platforms such as Indeed.
- Help identify and recruit salespeople or other team members as the business grows.
- Support employee onboarding, coordination, coaching, and performance conversations when required.
- Assist management with employee-related matters, including difficult conversations or offboarding when necessary.
- Check in with management at the beginning of each shift and provide a concise closeout summary at the end of each shift.
Requirements
- 5+ years of relevant professional experience, ideally in sales, operations, customer service, or business coordination.
- Previous experience within stone restoration, construction, home services, flooring, renovation, or a similar service-based industry.
- Strong phone sales experience with a proven ability to close deals.
- Experience managing warm leads and guiding clients through the full sales cycle.
- Experience with QuickBooks, particularly preparing and sending estimates.
- Excellent spoken and written English with clear, professional communication that is easy for US-based clients to understand.
- Friendly, confident, and professional demeanor with the ability to build rapport quickly.
- Strong Excel skills and confidence maintaining customer and sales tracking information.
- Strong organizational and time-management skills.
- Ability to work independently with minimal supervision.
- Strong problem-solving skills and a proactive, self-starting approach.
- Comfortable balancing sales, administration, operations, and people-related responsibilities.
- Willingness and ability to quickly learn technical information about stone types, restoration methods, and company services.
- Comfortable using cloud-based tools and phone systems.
Nice-to-Have:
- Existing knowledge of different types of stone and restoration processes.
- Experience with Google Workspace, WhatsApp, and similar business communication tools.
