Job Overview

We are seeking a detail-oriented Item Setup and Data Entry Assistant to support accurate and timely product information management, item setup, quote submissions, and ongoing data maintenance.

The successful candidate will be responsible for managing product, cost, logistics, compliance, and related item information throughout the item lifecycle. This role requires strong attention to detail, excellent data-entry skills, and the ability to work across multiple systems, spreadsheets, and internal stakeholders.

While direct experience with Walmart Retail Link and Walmart's Quote Management System (QMS) is highly preferred, it is not a strict requirement. Candidates with similar experience in item setup, product data management, supplier portals, quote management systems, or data-entry processes within a comparable retail, wholesale, consumer products, or direct-import environment are strongly encouraged to apply.

Work Schedule and Hours

  • 10 hours per week; Working hours are between 9:00 AM and 11:00 AM Eastern Time.
  • Candidates should be available to consistently work within this time window and coordinate with the team as needed.

Key Responsibilities

  • Create, update, and maintain accurate product and item information across relevant systems and databases.
  • Complete new item setup forms, quote submissions, and related documentation.
  • Enter, validate, and maintain product attributes, costs, case-pack details, dimensions, weights, UPCs, GTINs, country-of-origin information, and other required data.
  • Support the item setup and maintenance process throughout the product lifecycle.
  • Review submissions and records for completeness, accuracy, and compliance with applicable requirements.
  • Identify and correct data discrepancies, item setup errors, incomplete information, and rejected submissions.
  • Track the progress of item setups, quotes, and related requests, following up on outstanding approvals or missing information.
  • Maintain accurate internal item records, trackers, spreadsheets, and supporting documentation.
  • Collaborate with merchandising, sales, sourcing, logistics, and other internal teams to gather and verify required information.
  • Generate, review, and analyze reports when needed.
  • Support data maintenance, supplier onboarding, quote management, and other related administrative processes.
  • Handle confidential product, vendor, and business information with discretion.

Required Experience and Skills

  • Previous experience in data entry, item setup, product information management, product maintenance, quote management, or a similar administrative role.
  • Experience working with large volumes of product or item data.
  • Strong attention to detail and a high level of accuracy.
  • Ability to identify inconsistencies, missing information, and data discrepancies and take appropriate action to resolve them.
  • Proficiency in Microsoft Excel, including working with spreadsheets, item trackers, and large data sets.
  • Strong organizational and time-management skills.
  • Ability to manage multiple tasks, item submissions, and deadlines simultaneously.
  • Clear written communication skills and the ability to effectively follow up with internal teams or stakeholders.
  • Ability to learn and navigate new systems, portals, and data-management tools.

Preferred Experience

The following experience would be considered a strong advantage but is not required:

  • Hands-on experience using Walmart Retail Link.
  • Experience using Walmart's Quote Management System (QMS).
  • Experience supporting Walmart item setup, item maintenance, quote submissions, or supplier-related processes.
  • Experience working with a Walmart vendor or direct-import vendor.
  • Familiarity with Walmart's item-data requirements, product setup processes, or compliance requirements.
  • Experience with item maintenance, supplier onboarding, quote management, or similar processes for other major US retailers.
  • Experience using comparable retailer portals, supplier systems, product information management systems, or quote management platforms.
  • Familiarity with direct-import products, packaging, logistics, and country-of-origin requirements.
  • Experience supporting businesses in retail, wholesale, consumer products, apparel, general merchandise, manufacturing, sourcing, or distribution.

Candidate Screening

Candidates with direct and recent experience using Walmart Retail Link and/or Walmart's Quote Management System (QMS) should be prioritized, particularly those who have supported item setup or direct-import vendor processes.

However, Walmart-specific experience is not mandatory. Candidates with strong experience in similar item setup, product data management, supplier onboarding, quote management, or high-volume data-entry functions within a comparable business environment may also be considered.

General data-entry experience alone may not be sufficient. Preference should be given to candidates who can demonstrate experience managing detailed product or item information, maintaining accuracy across multiple data points, and working with structured item setup or product-management processes.
