Position Overview

We are seeking a detail-oriented Senior US Accountant to manage day-to-day bookkeeping and monthly accounting activities across multiple entities and related companies. This role is responsible for maintaining accurate accounting records, completing reconciliations, preparing reliable financial statements, supporting budgets and forecasts, and identifying issues that require management attention.

The successful candidate will be more than a transaction-entry bookkeeper. They will understand how the general ledger flows into the financial statements, take ownership of the books for several entities, work independently, communicate clearly with internal and client stakeholders, and consistently deliver accurate work within established deadlines.

  • Additional systems: Drake experience preferred; experience with EasyACT or similar legacy accounting systems is an advantage

Key Responsibilities

Multi-Entity Bookkeeping and Accounting

  • Maintain accurate accounting records in QuickBooks Online for multiple entities across several client groups.
  • Review and classify bank and credit card transactions to the appropriate general ledger accounts.
  • Set up new QuickBooks Online accounts and connect bank feeds when entities transition from EasyACT or another legacy system.
  • Use available historical records to support accurate transaction classification and account setup.
  • Perform monthly bank and credit card reconciliations and resolve discrepancies promptly.
  • Perform intercompany reconciliations to ensure related-company transactions and balances agree across both sets of books.
  • Record and maintain intercompany and related-party transactions.
  • Review the general ledger for incorrect, duplicate, unusual, or incomplete transactions and make appropriate corrections.
  • Prepare and post routine journal entries, including accruals, prepaid expenses, loan activity, fixed assets, and other balance sheet activity.
  • Reconcile balance sheet accounts and maintain clear supporting schedules.
  • Review Accounts Receivable and Accounts Payable balances for accuracy and completeness.

Financial Reporting, Budgets, and Close Support

  • Prepare monthly financial statements, including Balance Sheet and Profit & Loss reports.
  • Review financial statements for reasonableness and investigate unusual balances or activity.
  • Create and maintain annual and monthly budgets for assigned entities in coordination with management.
  • Compare actual results to budget, identify significant variances, and document explanations or recommended follow-up.
  • Update budgets and forecasts as business conditions and management expectations change.
  • Maintain organized accounting workpapers and supporting documentation.
  • Assist with month-end close activities and ensure assigned entities are completed according to established deadlines.
  • Support year-end accounting cleanup and prepare organized information for tax return preparation.

Specialized Accounting Schedules

  • Create and maintain debt schedules showing original loan balances, payments, principal and interest allocations, new borrowings, and outstanding balances.
  • Reconcile debt schedules to the general ledger and lender statements.
  • Create and maintain fixed asset ledgers, including additions, disposals, purchase dates, costs, accumulated depreciation, and other relevant details.
  • Reconcile fixed asset ledgers to the general ledger.

Communication, Client Support, and Team Development

  • Communicate with the accounting team, management, and clients regarding missing information, discrepancies, questions, and items requiring clarification.
  • Document accounting issues clearly and provide practical recommendations when follow-up is required.
  • Support client-facing accounting discussions and explain accounting matters in a clear, professional manner.
  • Provide guidance, knowledge sharing, and training to newer accounting employees when needed.
  • Maintain professional communication and availability throughout the agreed working schedule.

Required Qualifications and Experience

  • At least three years of hands-on bookkeeping or accounting experience, including responsibility for monthly reconciliations and financial statement preparation.
  • Advanced proficiency in QuickBooks Online, including the ability to independently maintain multiple QBO companies.
  • Strong understanding of debits and credits, accrual-basis accounting, and the relationship between the general ledger and financial statements.
  • Demonstrated experience with bank and credit card reconciliations and resolving reconciliation discrepancies.
  • Experience with intercompany reconciliations and related-company balances.
  • Experience with balance sheet reconciliations involving loans, fixed assets, prepaid expenses, Accounts Receivable, Accounts Payable, and intercompany accounts.
  • Experience creating and maintaining debt schedules and fixed asset ledgers.
  • Experience preparing monthly financial statements from underlying accounting records.
  • Experience creating budgets and performing budget-to-actual analysis.
  • Intermediate-to-advanced Microsoft Excel skills, including formulas, sorting, filtering, reconciliations, accounting schedules, and budget preparation.
  • Ability to work independently, research discrepancies, and escalate potential accounting issues rather than simply categorizing transactions without review.
  • Strong written and verbal English communication skills, with the ability to document questions and accounting issues clearly.
  • Strong organization, attention to detail, consistency, and ability to manage multiple entities and deadlines.

Preferred Qualifications

  • Six to ten years of US accounting or bookkeeping experience, particularly in a multi-entity environment.
  • CPA certification or equivalent US accounting credentials.
  • Experience with US personal tax returns and business returns, including Forms 1120-S and 1065.
  • Experience reviewing tax returns or supporting tax preparation and quality-control processes.
  • Experience using Drake tax software.
  • Experience supporting accounting setup or reconstruction from EasyACT or another legacy accounting system.
  • Experience with multi-entity, consolidated, or related-party accounting environments.
  • Experience with debt accounting, amortization schedules, fixed assets, depreciation, and related reconciliations.
  • Experience developing annual operating budgets, forecasts, and budget-to-actual reporting.
  • Experience in a CPA firm, outsourced accounting department, or fractional CFO/accounting environment.
  • Experience identifying and correcting historical bookkeeping errors.
  • Experience training, mentoring, or reviewing the work of newer accounting staff.

Tax experience is valued, but the primary focus of this position is US accounting, bookkeeping, financial reporting, reconciliations, and multi-entity QBO management.

Ideal Candidate Profile

The ideal candidate is a technically strong accountant who can take ownership of the books for several entities and maintain a high standard of accuracy without close supervision. They are comfortable investigating discrepancies, recognizing when financial information does not appear reasonable, and bringing issues to management with clear documentation and practical next steps.

They are organized, dependable, analytical, and able to manage competing deadlines across multiple companies. They can communicate confidently with clients and internal stakeholders, protect the separation and integrity of each entity’s records, and contribute to the development of newer accounting employees.

Success in this role will be demonstrated by:

  • Accurate and well-maintained QBO records across assigned entities.
  • Reconciliations completed thoroughly and on schedule.
  • Reliable monthly financial statements supported by organized workpapers.
  • Timely identification, investigation, and escalation of unusual or incorrect activity.
  • Clear budget-to-actual analysis and documented variance explanations.
  • Consistent progress through month-end and year-end close requirements.
  • Professional, responsive communication with clients, management, and the accounting team.
  • Effective knowledge sharing and support for newer accounting employees.
