Our client is seeking an organized, detail-driven Xero Bookkeeper & NDIS Compliance Administrator to manage day-to-day administrative and financial workflows. In this role, you will lead Xero reconciliations, track team shift notes, assist with NDIS participant claims, and support registration compliance. This position is ideal for a proactive administrative specialist who brings strong financial accuracy and familiarity with NDIS framework requirements.

Client Overview

Our client is an Australian Disability Support Provider operating under the National Disability Insurance Scheme (NDIS). Dedicated to delivering high-quality participant care and operational excellence, they are expanding their remote back-office team to manage compliance documentation, claim processing, and core bookkeeping functions.

Schedule

  • Flexible during client business hours AEST (20 hours per week)

Responsibilities

Financial & Bookkeeping Management:

  • Perform daily bookkeeping tasks in Xero, including invoice processing, bank reconciliations, and expense tracking.

  • Assist with NDIS participant claims processing and cross-check billing records for accuracy prior to submission.

  • Maintain clean digital filing systems for receipts, invoices, and financial compliance records.

NDIS Operations & Compliance:

  • Track team shift notes and operational documentation to ensure complete, timely compliance.
  • Monitor NDIS registration requirements, maintaining accurate up-to-date compliance registers.
  • Help document, refine, and maintain internal Standard Operating Procedures (SOPs).

General Administration & Communication:

  • Manage incoming email correspondence, prioritizing urgent client and participant inquiries.

  • Coordinate regular check-ins with business owners to review task progress and operational priorities.

  • Optionally monitor relevant NDIS online communities and Facebook groups for industry updates and engagement.

Requirements

  • Proven hands-on experience using Xero for bookkeeping, invoicing, and account reconciliation.
  • Meticulous approach to auditing financial figures, care logs, and compliance records.
  • Professional written and verbal English skills for drafting correspondence and collaborating with team members.
  • Dedicated remote workspace available for 20 hours per week with high self-discipline and autonomy.

Qualifications

  • Prior exposure to NDIS claims, participant documentation, and compliance standards (Highly Preferred).
