Job Overview
Our client is looking for a highly organized, proactive, and client-focused Bilingual Civil Litigation Legal Assistant to support a growing litigation practice. The ideal candidate has prior litigation experience and understands the importance of managing strict deadlines, coordinating legal proceedings, supporting discovery, and keeping cases organized. This role requires someone who can work independently, follow up consistently, communicate professionally with clients and legal professionals, and provide compassionate, high-quality client service while maintaining accuracy and urgency.
Schedule: Monday - Friday, 9:00 AM - 5:00 PM Eastern Standard Time
Responsibilities
- Manage and monitor litigation calendars, deadlines, court orders, and case-related events.
- Track deadlines related to discovery, hearings, depositions, mediations, inspections, examinations, and trials.
- Proactively remind attorneys and team members of upcoming deadlines and outstanding tasks.
- Schedule and coordinate depositions, mediations, hearings, inspections, and other litigation events.
- Coordinate with attorneys, clients, opposing counsel, witnesses, court reporters, mediators, interpreters, and other vendors.
- Prepare and circulate scheduling correspondence and legal notices as directed.
- Follow up consistently on outstanding scheduling items and case requirements.
- Assist with discovery by communicating with clients to obtain required information and documentation.
- Organize documents, records, photographs, correspondence, invoices, contracts, medical records, and other case materials.
- Assist with preparing initial drafts of discovery responses for attorney review.
- Track discovery deadlines and outstanding responses.
- Communicate with clients regarding scheduling, discovery, depositions, mediation, and other case-related matters.
- Provide professional, patient, and responsive client service while escalating substantive legal questions to the appropriate attorney.
- Maintain accurate and organized case records and ensure important documents and deadlines are properly tracked.
- Identify potential scheduling conflicts, delays, or missing information and proactively communicate them to the legal team.
- Provide general administrative and litigation support as needed.
Requirements
- Previous experience as a Litigation Assistant, Legal Assistant, Paralegal, or similar legal support role.
- Strong understanding of U.S. litigation processes, deadlines, discovery, and court procedures.
- Experience managing legal calendars and tracking case deadlines.
- Experience coordinating depositions, mediations, hearings, or other litigation events.
- Familiarity with discovery processes and legal document organization.
- Excellent written and verbal English communication skills.
- Bilingual English/Spanish skills.
- Strong attention to detail and organizational skills.
- Ability to manage multiple cases, deadlines, and priorities independently.
- Strong follow-up skills and ability to take ownership of tasks from start to completion.
- Professional and empathetic approach to client communication.
- Ability to remain calm and organized in a fast-paced environment.
- Reliable internet connection and ability to work independently in a remote setting.
