About the Role
An established dental practice is looking for a confident, phone-savvy Patient Recall & Treatment Coordinator to join their team remotely. The practice has a strong patient base but limited time at reception to manage proactive outreach — and that's exactly where you come in.
Your focus will be calling existing patients who are due for their six-month visits and following up on treatment plans that have been presented but not yet accepted. This is an internal marketing role as much as it is an admin role — the right candidate will be comfortable on the phone, naturally persuasive, and skilled at building rapport with patients they've never met.
Schedule
- 20 hours/week across 4 days, approximately 5 hours per day
- Flexible scheduling — availability between 10am–7pm, AEST preferred to align with when patients are reachable
What You'll Be Doing
- Work through a daily list of patient recalls generated via Core Practice CRM, contacting patients due for six-month check-ups and routine visits
- Follow up with patients who have been presented with treatment plans but haven't yet booked or confirmed
- Leave detailed call notes and update patient records accurately in Core Practice after every interaction
- Manage callbacks, voicemails, and follow-up sequences to maximize contact rates
- Work closely with the practice team to coordinate scheduling and ensure a smooth patient experience
- Provide feedback on call trends — including optimal times for patient outreach
What We're Looking For
- Proven outbound calling experience — this is the priority; admin capability is expected to follow
- Warm, professional, and clear phone manner — patients must feel comfortable and well looked after
- Naturally persuasive with the ability to re-engage patients without being pushy
- Experience with Core Practice or similar dental/healthcare CRM preferred
- Accurate and thorough with note-taking and record management
- Self-motivated and able to maintain consistent call volume without close supervision
- Reliable home office setup with a stable internet connection
