Job Overview
Our client is looking for a practical and commercially minded Business Workflow & AI Automation Consultant to help them review, map, and improve the way their business operates.
They are a growing passive fire protection contractor working across construction, compliance, auditing, service penetration fire rating, reporting, and project closeout documentation. As the business continues to grow, our client is looking to reduce manual administration, streamline internal processes, and implement practical automations that save time, improve consistency, and support the team.
This role will involve working closely with the business owner and key team members to gain a strong understanding of current processes. You will identify bottlenecks, inefficiencies, duplicated work, and opportunities to simplify or automate workflows.
This is not purely a software development role. Our client is looking for someone who can first understand how the business operates, document and map existing workflows, and then recommend and implement the most practical solutions.
The successful candidate should be comfortable working with tools such as Microsoft 365, Outlook, Word, Excel, OneDrive, Power Automate, APIs, and AI platforms. You should be able to translate complex or informal day-to-day processes into clear, structured workflows and systems that are practical for the team to use.
Schedule: Monday to Friday, 9:00 AM – 6:00 PM AEST with 1-hour unpaid (40 hours per week)
Responsibilities
- Shadow the business owner and key team members to understand current processes and day-to-day operations.
- Map and document existing workflows across different areas of the business.
- Identify repetitive administrative tasks, bottlenecks, double-handling, and other inefficiencies.
- Review current software, systems, and tools to identify opportunities for improvement.
- Identify and recommend practical automation opportunities based on business needs.
- Create a prioritised roadmap based on potential time savings, business impact, implementation effort, and ease of adoption.
- Review API and system integration opportunities between existing platforms and tools.
- Design, build, or scope practical workflow and automation solutions.
- Improve workflows related to quote requests and quote preparation.
- Streamline job setup and project handover processes.
- Review and improve Trak and CtrlDoc workflows.
- Develop opportunities for Outlook and email automation.
- Improve Word document and quote template automation.
- Streamline site inspection, reporting, and daily site write-up processes.
- Improve variation approval and tracking workflows.
- Streamline project closeout documentation and photo/reporting processes.
- Improve internal task allocation, follow-up, and accountability systems.
- Develop dashboards and operational reporting tools where appropriate.
- Identify opportunities to use AI for administration, reporting, documentation, training, and other internal processes.
- Support implementation, testing, documentation, and staff training for new workflows and automations.
- Monitor implemented solutions and recommend further improvements where needed.
Requirements
- Proven experience in business process mapping, workflow analysis, process improvement, or operational consulting.
- Hands-on experience with workflow automation and business systems integration.
- Strong knowledge of Microsoft 365, including Outlook, Excel, Word, OneDrive, and Power Automate.
- Experience automating documents, templates, emails, reporting, and other administrative processes.
- Experience working with APIs and integrating different software platforms and systems.
- Experience building or implementing dashboards and operational reporting solutions.
- Familiarity with AI tools such as ChatGPT/OpenAI or similar platforms, particularly for improving business processes, administration, reporting, documentation, or training.
- Experience in construction, trades, field services, compliance, project management, or other service-based businesses will be highly regarded.
