Behavioral Health Administrative Assistant

Job Description:

We are looking for a detail-oriented Behavioral Health Administrative Assistant to become the operational backbone of a busy psychiatric practice.

In this role, you will manage patient scheduling, coordinate communications, review medical documentation for completeness, and support day-to-day administrative operations. You'll work closely with the provider to ensure patients receive timely care while helping the practice grow efficiently.

Client Overview:

Our client is an expanding psychiatric healthcare practice in the early stages of growth, focused on building a strong operational foundation while scaling patient acquisition. They are looking for a proactive and highly organized Virtual Assistant to streamline administrative workflows and help deliver an exceptional patient experience.

Schedule:

  • Monday to Friday, 9:00 am to 5:00 pm (US Eastern Time, 40 hours per week)

Key Responsibilities:

  • Schedule and confirm patient appointments and follow-up visits.
  • Manage patient email communications, including copay reminders and sick leave requests.
  • Review patient charts to identify missing consents, incomplete documentation, or outstanding administrative tasks.
  • Monitor patient records and flag patients requiring outreach or termination of care.
  • Support the practice's social media presence by creating and publishing content.
  • Perform general administrative tasks to keep clinic operations running smoothly.
  • Help improve internal processes and identify opportunities to increase efficiency.

Requirements:

Required:

  • Experience working within the U.S. healthcare system
  • Understanding of psychiatric diagnoses and medical terminology
  • Excellent written English and professional communication skills
  • Strong organizational skills and exceptional attention to detail
  • Ability to work independently, prioritize tasks, and take initiative

Nice-to-Have:

  • Experience using Canva or CapCut for basic content creation
  • Previous experience supporting a fast-growing medical practice
  • Background in behavioral health or psychiatry
