Client Overview

Our client is a growing healthcare organization focused on efficient patient care delivery and scaling operations across multiple medical departments. They prioritize both cost-effectiveness and quality patient service, investing heavily in comprehensive training programs to develop their virtual team members into highly skilled medical administrative professionals.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM Eastern Time [Ontario, Canada] (40 hours per week) Note: Includes a 1-hour unpaid break.

Responsibilities

  • Appointment Scheduling: Book and schedule patient appointments for specialized doctors through professional, compassionate phone interactions.
  • Pre-Call Patient Research: Conduct thorough patient account research prior to placing outbound calls to ensure highly personalized and efficient service.
  • EMR Data Management: Navigate and master complex Electronic Medical Records (EMR) systems to manage sensitive patient information securely.
  • Multi-Platform Navigation: Operate multiple software systems simultaneously to track appointment queues and coordinate scheduling logistics.
  • Patient Communication: Handle high-volume inbound and outbound patient calls, inquiries, and follow-ups with an exceptional standard of professionalism and empathy.
  • Record Hygiene: Maintain highly accurate scheduling records and complete patient files across various integrated data platforms.
  • Clinical Collaboration: Partner closely with on-site medical staff to optimize daily appointment availability, manage cancellations, and streamline patient flow.

Requirements

  • Communication Excellence: Strong verbal and written communication skills tailored for sensitive, professional patient interactions.
  • Phone Confidence: High comfort level handling phone-based customer service and navigating confidential, emotionally sensitive conversations.
  • Technical Agility: Quick learner with the ability to master new software platforms, clinical workflows, and basic medical terminology.
  • Technical Infrastructure: A reliable, high-speed internet connection (100+ Mbps preferred) to ensure optimal remote EMR software performance.
  • Workspace Standard: A dedicated home office space with a professional, distraction-free setup suitable for secure patient calls.

Qualifications

  • Previous professional experience in customer service, retail, or general administrative assistance is considered a strong asset.
  • Prior familiarity with basic medical terminology, cardiology care settings, or healthcare office environments is highly advantageous.
  • Previous hands-on experience navigating EMR systems or medical scheduling software is a major bonus.
