Overview:

Our client is a rapidly growing e-commerce business based in Sydney, Australia, that launched approximately 18 months ago and has exceeded growth expectations. The company specializes in product sales through Shopify and is transitioning from spreadsheet-based accounting to Xero as they scale operations. Our client is looking for a detail-oriented AU E-Commerce Bookkeeper & Business Support Specialist (Xero | Shopify) to help establish compliant financial systems while supporting broader business operations.

You will own the financial operations and administrative backbone of a thriving e-commerce business. Starting with messy spreadsheets, you'll transform the bookkeeping system into a compliant, Xero-based operation that meets Australian tax law requirements. Beyond the books, you'll tackle high-value research tasks, build prospect databases, and support day-to-day operations that directly impact revenue growth. This role rewards proactive problem-solvers who can see the end goal and chart the path to get there without needing their hand held at every turn.

Schedule: Monday - Friday, 10:00 AM - 2:00 PM AEDT (20 work hours per week)

Responsibilities:

• Transition existing spreadsheet-based financial records into Xero accounting software while ensuring compliance with Australian tax law
• Manage ongoing bookkeeping including BAS, superannuation, and cost of goods sold (COGS) tracking for e-commerce inventory
• Conduct detailed research tasks including sourcing articles, references, and information on specific topics as needed
• Build and maintain databases of potential commercial customers for outreach purposes
• Provide sales administration and customer support as business needs arise
• Handle miscellaneous administrative tasks with attention to detail and proactive problem-solving
• Identify issues in existing financial records and implement solutions to achieve compliance standards
• Maintain organized systems that support the company's continued growth trajectory

Must-Have Requirements:

• Proven bookkeeping experience with strong understanding of Australian accounting requirements and tax compliance for proprietary limited companies
• Demonstrable experience with e-commerce bookkeeping, including inventory management and cost of goods sold
• Xero certification or extensive Xero platform experience
• Exceptional attention to detail with ability to identify and resolve discrepancies in financial records
• Proactive, self-directed work style with strong critical thinking and problem-solving skills
• Ability to work independently without requiring step-by-step instructions for every task
• Strong research skills and comfort building databases and customer lists
• Excellent communication skills

Nice-to-Have Requirements:

• Experience working with Australian e-commerce companies previously
• Familiarity with Shopify's drag-and-drop online editor for basic site updates
• Experience transitioning companies from manual spreadsheet systems to formal accounting platforms
• Background in sales administration or customer support functions
