Job Overview:
Our client is seeking a highly organized and detail-oriented Marketing Operations Assistant to support the day-to-day operations of a fast-paced creative team. This role is ideal for someone who enjoys keeping projects organized, ensuring deadlines are met, and maintaining smooth production workflows behind the scenes. You'll work closely with the Creative Director to coordinate projects, manage creative assets, monitor production progress, and provide administrative support that keeps the team running efficiently. This is a backend operations role with no phone responsibilities.
Schedule: Monday to Friday, 9 am to 1 pm ET; Part-time role, 20 work hours per week, 4 hours per day on a consistent schedule)
Responsibilities:
- Organize and maintain files, folders, and creative assets to ensure efficient production workflows.
- Coordinate and track the creative production pipeline, monitoring the progress of images, videos, and other deliverables from creation through final delivery.
- Perform quality assurance (QA) checks on creative assets before they are delivered to clients.
- Provide regular status updates and progress reports on active projects.
- Send templated outreach messages to prospects and clients as directed.
- Coordinate project timelines, monitor deadlines, and proactively follow up to keep projects on schedule.
- Assist with administrative and operational tasks that support the Creative Director and production team.
- Identify bottlenecks and help improve internal processes and workflow efficiency.
- Reports directly to the Creative Director with the opportunity to transition into a full-time position based on performance and business needs.
Requirements:
- Previous experience in an Operations Assistant, Project Coordinator, Administrative Assistant, Executive Assistant, or similar support role.
- Exceptional attention to detail and strong organizational skills.
- Excellent written English communication skills.
- Strong project coordination and time management abilities.
- Comfortable managing multiple projects and priorities simultaneously.
- Proactive, resourceful, and able to work independently with minimal supervision.
- Proficient with Google Workspace (Docs, Sheets, Drive) and comfortable learning new tools and software.
- Experience working with project management platforms (e.g., ClickUp, Asana, Trello, Monday.com) is an advantage.
- Highly organized, process-driven, and committed to accuracy, quality, and accountability.
