Project Services Coordinator

Job Overview

Operating at the intersection of project management and service administration, this position provides critical support to Project Coordinators (PCs) and Project Managers (PMs) while serving as a direct point of coordination for clients. Our client is looking for someone to fill this role, which is designed to streamline the execution of installation projects, service ticketing, and service SLA support. Key priorities include tracking equipment ETAs, maintaining project support assets, administering safety documentation, and ensuring seamless service delivery in alignment with ITIL service management and Project Management (PM) principles.

Schedule

  • Shift start between 7:30 AM - 8:30 AM Alberta time (Mountain Daylight Time, UTC-6) / 9:30 PM – 10:30 PM Philippines time. 

Responsibilities

Project Support & Administration

  • Provide administrative assistance on active Projects and Service Desk support.
  • Proactively track, follow up on, and report on project equipment ETAs to prevent on-site delays.
  • Create, update, and maintain project support assets (e.g., project trackers, meeting minutes, risk logs, and closeout packages) according to project management standards.
  • Review and verify timesheets according to standard operating procedures. Escalate to management when reported hours do not match the schedule or incur unexpected overtime costs.
  • Actively engage in improvement activities related to Standard Operating Procedures (SOPs), the Service Knowledgebase, and other internal resources.

Service Coordination & Administration

  • Act as a direct point of contact for clients, providing clear, professional, and timely updates regarding project timelines, scheduling, and deliverables.
  • Align communication and administrative tasks with ITIL service principles to ensure a high-quality, consistent customer experience.
  • Log, categorize, and track project-related requests, ensuring all client communications are fully documented.

Safety & Compliance Administration

  • Coordinate and administer safety-related documentation, including safety forms, hazard assessments, and compliance records.
  • Perform administrative follow-ups to ensure field technicians and subcontractors submit required safety paperwork on time.
  • Maintain organized, audit-ready safety and compliance databases.

Qualifications

  • 2+ years of experience in service coordination and/or project administration.
  • Solid foundational understanding of PMI/PRINCE2 Project Management principles.
  • Solid understanding of the ITIL 4 framework (specifically Service Request Management and Incident Management).
  • Excellent client-facing communication skills (written and verbal English) with a strong customer-service mindset.
  • Exceptional organization, time-management, and proactive follow-up abilities.
  • Proficiency with standard project/service software (e.g., Odoo, ServiceNow, Zoho Service, MS Project, Smartsheet).
  • Ability to work independently in a remote environment with minimal supervision. 
  • Headset and camera required for internal and external communication
